Job summary

The Workforce, Training and Education (WT&E) Directorate provides leadership for the education and training system. It ensures that the shape and skills of the future health and public health workforce evolve to sustain high quality outcomes for patients in the face of demographic and technological change. WT&E ensures that the workforce has the right skills, behaviours, and training, and is available in the right numbers, to support the delivery of excellent healthcare and drive improvements through supporting healthcare providers and clinicians to take greater responsibility for planning and commissioning education and training.

We have a number of exciting career opportunities within WT&E - South East Region within the Postgraduate Medical and Dental Education Team.We are looking for highly motivated and enthusiastic individuals with excellent administrative and organisational skills to be part of a team that administers our Postgraduate doctors and dentists in training support and education activities across the region.

Main duties of the job

The Foundation Education Programme Coordinator works with the Foundation Education Programme Manager and the Foundation Education Programme Officer in the local office to support the operational delivery of medical and dental foundation education programmes including national recruitment, programme management, finance, and project management and to implement successful delivery of assessments, rotations, Out of Programme (OOP), Inter-deanery Transfers (IDT), Less than Full Time Training (LTFT) throughout a trainee's journey. They will apply locally defined processes whilst following the national policy and process.

Colleagues with a contractual office base are expected to spend, on average, at least 40% of their time working in-person.

Staff recruited from outside the NHS will usually be appointed at the bottom of the pay band.

The post is responsible for administering a client-focused, comprehensive service liaising with others/departments and external colleagues. The postholder will provide appropriate advice to senior clinical staff and stakeholders within their functional area.

The post will also support the delivery of a professional operational administration and advice service for the recruitment, selection and assessment processes on all postgraduate medical and dental education and development programmes.

The role involves understanding a range of complex issues e.g., recruitment

and assessment regulations, monitoring requirements of General Medical Council (GMC), service delivery needs of Trusts and other healthcare provider organisations, and data management of training posts. The post holder must use their own judgement as required to deal with this complexity, often in the face of conflicting pressures recognising when appropriate to escalate any situation to their line manager as well as maintaining good working relationships with stakeholders in implementing and communicating changes.

In addition, the postholder will be expected to contribute to the multi-professional nature of the business of NHSE across the South East region and support region-wide PGMDE activities.

  • Educated to HNC 4 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience.

Skills and Abilities

Essential

  • Excellent attention to detail and high level of accuracy in all work including excellent general office administration skills with the ability to manipulate data on spreadsheets (Microsoft Word, PowerPoint, Outlook, Excel, Access skills) and review and develop administrative processes and procedures.
  • Able to work without direct supervisionAbility to work effectively under pressure, meet tight deadlines and prioritise workload in a challenging and demanding environment as well as the ability to remain calm in pressurised situations

Desirable

  • Familiarity with TIS (Trainee Information System) or other large databases/HR and/or recruitment information systems

Knowledge and Experience

Essential

  • Experience of working as a team with others of varying seniority with proven ability of working in a team environment and delivering team objectives
  • Experience of drafting and producing minutes and meeting notes

Desirable

  • Previous experience in the NHS in a similar administrative role
  • Experience of working in Postgraduate Medical Education (PGME)
