Beech Tree Surgery is looking to recruit a part time admin assistant.  Please indicate on your application form how many hours you would like to work.


Job Purpose

  • To provide back office support in the surgery to ensure that practice runs as smoothly and effectively as possible



Key Responsibilities:


  • Work flowing of clinical documents in-line with the Practice protocols

  • Investigating and responding to tasks and workflows directed to you by Clinicians, the management team or other relevant members of staff

  • Creating online and written clinical referral in line with CCG protocols

  • Arranging medicals and other private work

  • Opening, scanning and franking of post

  • Emptying GP out trays and pigeon holes and taking appropriate action with the content

  • Monthly prescription reconciliation in line with Pricing Authority protocols

  • Managing the storage and movement of Lloyd George records

  • Managing diary dates and recall for tests and reviews

  • Accurate coding of Out of Hours documents

  • Accurate coding of death notification and appropriate follow up

  • Uploading new registrations and arranging deductions

  • Attendance at Staff meetings (as far as reasonable possible)

  • To follow all Practice Policies

  • To complete all mandatory training

  • Any other reasonable task



Person Specification


  • Caring, kind and compassionate

  • Reliable with a strong work ethic

  • Experience of working in an administrative role and able to follow complex processes and procedures

  • An excellent eye for detail

  • Excellent communication skills

  • Good IT skills
