NHS Professionals run the temporary work placements at West Hertfordshire Hospitals and we are looking for an Administrator to start ASAP!

What will your duties and responsibilities be?

  • Ensure the provision of an effective front-line administrative service with the ability to plan and prioritise own workload and of the staff involved.
  • Ensure the IM&T administration are the focal point to visitors and they are seen within a timely manner and adhere to departmental procedures.
  • Ensure the smooth day-to-day running of routine and non-routine work within the IT department and ensuring the department functions efficiently.
  • Produce and implement procedures and standards (both Trust and departmental) for IT administration tasks.
  • Control and manage the diaries for senior/line managers
  • Complete all administration processes for the employment of Contractual staff. This includes:
    • Terms & Conditions
    • Monitoring and recording timesheets
    • Matching invoices against timesheets
    • Be responsible for the administration provision of secretarial support for IT related meetings across the Trust including:
      • Plan and Organise meetings
      • Minute/action taking
      • Organise attendee’s and speaker if required
      • Room availability/facilities
      • Organising special requirements
      • Catering facilities.
      • IM&T Purchasing
      • Ensure that IT Purchasing Policies and Procedures are followed, actioned and maintained for the Trust.
      • Responsible for the effective and efficient function of the IT purchasing for the Trust.
      • Creation of new requisitions for all IT equipment requests, while ensuring all policies and procedures are adhered to for IT procurement.
      • Plan the relevant orders to meet contractual and project timescales.
      • Liaise with internal and external organisations for tracking orders, giving instructions (i.e. delivery dates etc), and any other discussions that are required by the IT Department.
      • Ensure that all purchasing information (i.e. Order numbers, Department, User etc.) is logged in an organised way so it can be reported on. The purchasing database and all spreadsheets must be maintained and kept up to date at all times.
      • Ensure that all ordering is carried out in a way where it is linked to the service desk system and individual work orders that need to be completed for Installation.
      • Receipt the purchased stock, add to the stock control spreadsheet, and then allocate to the nominated lead of Desktop or Implementation for collection and installation.
      • Create and maintain an organised filing structure that will hold all past/present/future purchasing requests/queries.
      • Responsible for the control of all IT Stock and distribution. Liaise with senior Trust Management to prioritise purchase requests.
      • Keep abreast of all prices changes with suppliers and recommend any cost cutting savings to the department
      • Financial planning and control
      • Produce and maintain all IT Capital reports, informing management of any changes and updates that may occur.
      • Verifying and authorising IT Capital invoices and passing for management’s authorisation for payment.
      • Attend and Assist in Capital meetings along with the Treasury Services Manager and IT Management.
