We are recruiting an apprentice for 12 months to join our small, friendly and dedicated team within the Princess Anne Hospital as a Speciality admin team clerk. The role is varied, interesting and crucial to ensuring an excellent patient experience every step of the way. This demanding role offers the opportunity to develop a range of administrative tasks, communication skills, attention for detail, outstanding customer service skills, a positive, patient-centred flexible approach and multi tasking skills.

The apprenticeship will offer you:

ABOUT THE TEAM

The teams you will part of are a valuable part of the patient’s journey and are in regular communication with our patients and an asset to our service.

We are looking for full time staff member who will be required to work 7.5 hours per shift.

The hours are on a rostered basis, and the shifts you will be required to work are: 8am -4pm and 9am -5 pm.

WHAT YOU’LL DO

Admission role includes:

As well as working towards your apprenticeship qualification you will be using our in house electronic systems to:

  • Booking appointments within a set period of time essential to the patients care..
  • Book day case and overnight stay patients within the required referral to treatment targets.
  • Add patients to the waiting list.
  • Reschedule and cancel appointments accordingly
  • Liaise with a multidisciplinary team.
  • Regular telephone contact with patients/GP’s and other relevant clinical professionals ensuring the patients pathway runs smoothly
  • Booking transport and interpreters.
  • All other admin duties such as raising patient records/ post and the generic email account.
  • Using University Hospital Southampton NHS Foundation Trust (UHS) systems including eCamis, HICCS and Cris.

You will need to have a high standard of spelling and grammar. Be someone who is committed to learn and develop. You will need to demonstrate compassion, patience and calmness with good communication skills. Due to the nature of this role a high level of organisation is essential.

WHAT WE’RE LOOKING FOR

We’re also looking for you to demonstrate:

  • High standards of accuracy with attention to detail.
  • Ability to communicate over the telephone and in person.
  • Use of IT skills, including Microsoft Office suite
  • The ability to work independently, seeking guidance where necessary.

You do not need previous admin experience for this role, although previous experience in a professional environment is desirable.

WHAT WE CAN OFFER YOU

As part of this role, we will work with you to develop within the role while undertaking a customer services practitioner level 2 apprenticeship. During your apprenticeship, you will cover subjects including:

 

  • Knowing your customer and the importance of customer experience relevant to the role
  • Development of interpersonal skills and communication
  • Personal organisation and developing self
  • Team working

To be eligible for this role you will need GCSE grade A-C in English and Maths (or equivalent) and be committed to your own personal growth, development and study. You will be given paid time off the job training which may be on site or at a local college.
