An exciting opportunity has arisen for an experienced secretary to join Community Mental Health Services working within the administration team supporting the Teams based at Weelsby View Medical Centre.

The main duties of the post will be to provide a full secretarial service ensuring effective and efficient service delivery within set timescales and guidelines. The successful applicant will need to have a flexible approach to work, be a team player with the ability to prioritise and work on their own initiative. Experience of working within a busy administrative environment and being able to communicate with a wide range of people in varying situations is essential. Applicants must be customer focused, efficient, flexible, and adaptable and demonstrate a tactful and diplomatic approach. You will be expected to work alongside your colleagues within the team offering assistance and support whilst ensuring the provision of an excellent administrative service. Prior experience of working alongside clinicians, particularly as part of a clinical team, is advantageous.

 

You will understand the need for confidentiality and show tact and diplomacy in interactions with others. There is an expectation that you will have an extremely high level of customer service skills as you will be dealing directly with internal and external bodies including Consultants, Departmental colleagues, Health and Social Care colleagues and GPs to facilitate the timely provision of patients’ care. You will liaise directly with members of the public including service users and carers, some of whom will be experiencing a crisis. Requests for information will be made by referrers, clinical staff, service users and carers who need to be met with a polite, calm and well organised response.

 

The successful candidate will be educated to GCSE level with an RSA111/OCR111 qualification with a minimum of three years secretarial experience with a proven background. The candidates will be expected to undertake a wide range of secretarial/clerical duties including dealing with referrals, reception/telephone, database entry work, typing including audio typing, filing and information collation and recording. There will be the requirement to set up and minute clinical meetings as required. Experience of diary management is a necessary part of the role and the role requires the ability to work under pressure. The post holder must be fully conversant in the use of Microsoft packages and our electronic system.
