We are looking to appoint an Administrator with experience of working in a busy office environment at Wharfedale Hospital where working to deadlines and multi-tasking is essential You will also be familiar with Office systems and procedures and have an awareness of data protection and confidentiality.

As as Administrator you will be dealing with

  • E- Referral worklist management
  • Daily management and action of work lists
  • Liaise with clinicians regarding any concerns/queries around e-Referrals
  • Reject or accept referrals on e-Referrals with clinical guidance and outcome appropriately
  • Ensure all e-Referral administration processes are carried out as per SOPS
  • Sys 1 Data Management
  • • E-Referral / RAS triage / appointment management in accordance with MSK SOP`s
  • Maintain clinician diaries on SystmOne
  • Action SystmOne tasks daily including the task management alerts in accordance with the SOP.
  • • Scanning documents into SystmOne in accordance with the scanning SOP.
  • Ensuring all telephone calls are received and dealt with in a courteous and diplomatic manner
  • Cancellation and rebooking of appointments
  • Procurement – e- proc – monitoring and ordering of requisites
  • Check appropriate NHS email account daily and action accordingly
  • Waiting list management.
  • Facilitate effective SystmOne diary management for the clinician’s rotas, to ensure all available clinical slots are filled one week in advance.
  • Ensure data is accurately recorded and inputted correctly to support delivery of service reports
  • Daily action of tasks group / individual member.
  • Manage clinic reception ( Where applicable)
  • Actively work towards developing and maintaining effective working relationships all key stakeholders both within and outside the Trust

Where there is a requirement for staff in this role to provide Care Quality Commission (CQC) regulated activities in England; in line with new government regulations which come into force from 1 April 2022, the employee will need to evidence they have had two doses of a Medicines and Healthcare products Regulatory Agency (MHRA) approved COVID-19 vaccine, or that they come within a specified exemption.
