We are looking for someone with previous administration experience, although this is not essential as this is a great role for anyone looking to gain and develop their knowledge, who can work well as part of a team but also able to use their own initiative to work independently. This position is based at St James Hospital in Portsmouth and will work on both the Orchards and Limes reception, answering calls, greeting visitors and other admin-based duties to help the smooth running of our inpatient areas.

This is a part time role for 30hrs per week, the post holder will be required to work 4 full days 08:30-16:30.

You must be good with Microsoft packages, systems and IT and have good attention to detail.

Knowledge of the NHS and Mental Health Services is desirable but not essential.

Solent’s Mental Health Services cover a variety of different services including inpatient facilities for both adults and older persons, community services including rehab, crisis and health and wellbeing, IAPT Talking Change and learning disabilities. Job Responsibilities

The post holder will be required to:

  • Greet patients and visitors at the desk
  • Answer telephone calls in a friendly, timely, and helpful manner
  • Go onto the wards to take/retrieve paperwork
  • Manage the diary for family visits
  • Upload documents onto SystmOne with accuracy
  • Be responsible for signing items such as keys in and out of reception
  • Ensuring that anyone entering the wards sign in and out of the visitors’ book
  • Looking after tracker's consisting of maintenance repairs
  • Assisting with fire alarms
  • Dealing with pharmacy requests for the wards
  • Managing an inbox which includes requests from GPs, pharmacy requests, referrals from the wards, admissions and discharges etc.
  • Sending bloods and swabs to the laboratory
  • Organising and maintaining the meeting rooms and reception area

Personal Skills/Qualities

  • Good telephone manner
  • Good typing/word processing skills
  • Good with Microsoft packages, e.g. Word, Excel, PowerPoint etc.
  • Attention to detail
  • Able to build good relationships with staff
