We have an exciting opportunity for an Administrative Assistant to join our Operating Theatres team on a 12 months Fixed Term Contract. This role will be based at our main hospital site in London, W1G (close to Regents Park & Baker St tube stations) with an inclusive salary range of £26,716 - £30,125 per annum.

Job Description

This Administrative Assistant will ensure the efficient provision of administrative and secretarial support services to senior members of the Theatre & Anaesthetic Service.

  • Job Type: 12 months Fixed term contract.
  • Shifts: Full-time; 37.5 hours per week (Monday to Friday).

Duties & Responsibilities

  • Theatre Suite Administrative Assistant responsible for the Head of Theatres diary planning and management, as well as fielding/responding to telephone calls, and providing support to the operating theatre management team and speciality leads.
  • Support and facilitate the management of e-roistering, annual leave and month end documentation for the medical consultant, liaising with consultants and medical secretaries, as well as with the Clinic’s financial and HR teams, and the speciality leads.
  • Responsible for specific projects/tasks, and will be required to act on your own initiative to see them through to a timely conclusion.
  • Undertake analysis of data required to support service delivery and systems to support implementation and efficient utilisation of resources.
  • Handle highly confidential and sometimes contentious and sensitive information of a personal and financial nature.
  • Maintain and update where required the Theatre Suite rota ensuring cover is adequate in all specialities within the service.

Skills & Experience

  • Administrative/Clerical or Receptionist experience within the Hospital/Healthcare sector.
  • Previous experience of working in an operating theatre, and an understanding of basic medical terminology would be an advantage.
  • Proficient in the use of computers and Microsoft Office packages. Familiarity of the Meditech system would be advantageous but not essential.
  • Excellent communication, interpersonal and organisational skills with experience of minute taking.
  • Friendly and welcoming persona with a flexible approach to working arrangements, and the ability to prioritise tasks, work under own direction, cope in sensitive and challenging situations, as well as understand the need for patient confidentiality.
