We are looking for a Health Records Booking Clerk to help provide support at Mount Vernon Hospital

We have a temporary position available for a Health Records Booking Clerk at Mount Vernon Hospital.

JOB SUMMARY:

The health records booking clerk is responsible for locating, retrieving, preparing patient’s notes, ensuring all results and letters are filed correctly within the patients notes. Ensuring the smooth running of the Cancer Registry, this provides a medical records service to the Cancer Centre ensuring case notes are filed correctly and neatly. To make new and follow up outpatient bookings, adding them onto a waiting list in accordance with Patient Access Policy to comply with National Guidelines.

 

THE MAIN DUTIES AND RESPONSIBILITIES:

 The health records booking clerk will be responsible for locating, retrieving and preparing patients notes for all internal clinics in advance of the clinic date.

 To be responsible for preparing all clinic case notes ensuring a good supply of labels and a clinical history sheet are available in the notes.

 To ensure that all case notes are distributed to the relevant reception areas in time for the following days clinics.

 To be responsible for searching for missing case notes within the Cancer Centre which have been mislaid and incorrectly tracked which can be very time consuming. These may be needed urgently for treatment or an appointment.

 To sort, distribute and file pathology, histology reports and all external letters and to undertake any other filing associated with the patient attending any of the above clinics.

 To be responsible in the tracking and filing of case notes back in the Cancer Registry on the Trust Lorenzo sytem.

 To be responsible for answering the telephone, dealing with queries, tracking and daily distribution of the patients’ notes throughout the Cancer Centre and Hospital as required.

 To be responsible for the maintenance of the filing system in the Cancer Registry by ensuring all files are kept in a neat and tidy order and are at the standard required, also weeding notes in accordance with the Trust protocol.

 To be responsible for deceasing of patients on Lorenzo using the National Spine and internal processes.

 Make new and follow up outpatient bookings in accordance with Patient Access Policy to comply with National Guidelines and reflect current initiatives, eg full bookings. Verify and update any change in personal details.

 To add and manage patients appointments via Access plans.

 Ensure appropriate means of contact with patients so that they are aware of their booking and/or alteration to their appointments.

 Take part in any training necessary to ensure best use of time and skills to update any procedural changes

 To appropriately respond to enquiries from patients in a timely manner

 To be flexible in covering annual leave/sickness of the other clinic clerks, cancer registration clerks and some reception duties within the department.

 To participate in training required to enable some cover of the receptionist and cancer registration duties.

 To undertake any other duties within reason as required by your manager

 Assist in covering various administration duties across the admin and clerical department.
