The Royal Devon and Exeter NHS Foundation Trust (RD&E) provides Acute and Community services across Exeter and East Devon serving a population of more than 450,000 people. Administrative Assistant – Band 2

Exeter Occupational Health Service is part of the RD&E and provides a comprehensive range of Occupational Health services to NHS staff and many non-NHS organisations on a chargeable basis. We are a progressive department and intend to continue developing our business along commercial lines.

This post is fixed term to cover a member of staff on maternity leave. We are seeking candidates with demonstrable experience of working in an administrative environment and using computerised data systems.Applicants must have the ability to work as part of a team, be flexible and have excellent organisational skillsin order to prioritise workload, meet deadlines and maintain confidentiality. The main priorities of this role are:

  • To answer the telephone and deal with enquiries
  • To assist in the organisation of clinics and making appointments
  • To ensure queries and problems relating to clinics are resolved and to escalate anywork or decision-making as required
  • To ensure all data whether paper based or electronic is stored, retrieved and archived according to trust standards and maintaining data protection requirements
  • To update the Occupational Health database with up to date and accurate information
  • To undertake filing, photocopying and scanning
  • To undertake reception cover as required and to provide this in a professional, efficient and effective manner
  • To acknowledge and help OH patients and visitors attending the department
  • To provide general administrative support to the administrative team to enable an effective and efficient service to be maintained

As this is a challenging role the successful candidate should be willing to undertake responsibility and work within deadlines.

Hours: 22.5 per week: 09:00 - 17:00 and to work Mondays, Thursdays and Fridays

Salary: Band 2 - £18,546 to £19,918 pro rata
