What is the purpose of this role…

To provide basic administrative support to our ROTA team. Our ROTA team are made up of two managing partner(s) who are responsible for monitoring and maintaining staffing levels that delivery our important clinical services across our practice. They do this by creating a clinical ROTA(s) that meets our obligations as a practice and the demands of our patients, putting our clinicians (GPs / Nurses / other health care professionals) where they are needed most across our practice. You will also work closely with one other knowledgeable and long serving workforce administrator already in post who has a wealth of experience to help you along the way.

Job specification

All of our surgery sites and clinicals rely on a clinical ROTA which is delivered on time and accurately, allowing this to be added to our clinical system ready for patients to book into / clinicians to be pointed to where they are needed;

  • Data Inputting: Following instructions from the team, accurately create and publish the Clinical Rota (for all clinician types) according to specification provided.
  • Data Input: Following instructions from the team, accurately create templates on our clinical system that helps to reduce variation between surgery sites
  • Communicate: ensure accurate, consistent and effective communication of the clinical ROTA(s) at surgery site level.
  • Oversee clinical room(s); Closely monitor ongoing availability / forward planning of availability of rooms for our clinicians across the practice
  • Data Inputting: to accurately, effectively, and efficiently input data into (i) excel spreadsheet that populates a dashboard or (ii) other system(s) in which automatically generates meaningful business information to the managing partners / executive managing partners to make informed business decisions.
  • Point of Contact for Emails: The ROTA team receive high volumes of emails which might query the clinical rota and/or or request changes to the clinical rota and/or other ad-hoc queries. Provide an excellent first point of contact for internal colleagues attempting to reach the ROTA team via email. To acknowledge, signpost and/or handle basic queries as deemed appropriate

What we look for in your application

  • Proven experience as an administrator, inputting data for long periods of time, to deadlines, in a fast paced environment and all whilst maintaining attention to detail is essential.
  • Proven first class communication skills; a warm, clear, concise and effective written communication skills with colleagues.
  • Ability to adhere to strict confidentiality policies
  • Absolute discretion with regards to patients and colleagues
  • Proven IT literacy; competent in the use of Microsoft Applications Word, Outlook and data inputting in Excel. A proven ability to learn how to navigate systems, input data provided to you with an attention to detail and follow processes and procedures.

Hours: 37.5 hours a week, 5 days a week

Salary: £11.00 per hour rising to £12.14 per hour + Company pension scheme
