We are looking for a Personal Assistant to the Chief Information Officer (CIO) and Informatics Senior Management Team.

We have a new role for a PA to the Chief Information Officer (CIO) and Informatics Senior Management Team at Southampton General Hospital (Tremona Road, Southampton, SO16 6YD).


If you are not already on the bank you will need to be able to provide a reference covering a 6-month period of employment within the last 3 years.


They are looking for this role to start as soon as possible and this is a short-term role helping to support the team while a 6 month secondment cover is recruited. Successful temporary worker will be able to apply for secondment cover. 

The working hours are Monday – Friday 9.00 – 17.00. 

This is a band 4, the pay rate is £12.35 an hour.


This role is to provide a comprehensive personal, secretarial and administrative service at a senior level primarily to the Informatics management team and the wider Informatics service. 

The role involves; 

  • To act as the first point of contact, receiving telephone calls and emails, and responding professionally, efficiently and promptly to queries.
  • Provide daily diary and email management support to members of the management team.
  • Organise and prioritise meetings or diary appointments.
  • To prepare/draft meeting agendas and other supporting paperwork, as appropriate.  Arrange for speakers, equipment, refreshment and venues and any other relevant duties.
  • Take meeting notes/minutes as required either by attending meetings or from recordings of Teams meetings.
  • To organise/assist in the planning of departmental events.
  • To make travel and accommodation arrangements.
  • To respond to communications (including emails/letters/memos) where possible
  • To draft letters and other documents for approval/amendments.
  • Maintaining IAT procedures, as well as those that relate to the wider area of Informatics, e.g. HR procedures, study leave policies, etc.
  • To ensure that the office and storage areas are clean and tidy and are in line with Trust and Directorate Fire and Health and Safety policies.
  • To keep an accurate record of staff annual leave, sickness and other absence, using the ESR Self Service System. To liaise with members of the HR Department regarding routine personnel queries (e.g. annual leave/special/sick leave entitlements). Ensure all staff details held on file are accurate. 


They are looking for someone who: 

  • Has typing experience (RSA 3 word processing/typing, or equivalent), if possible, including copy typist / audio typist experience.
  • Ideally have 2 years recent experience in providing a comprehensive PA/secretarial service to a senior level.
  • Ideally has worked in a busy Hospital environment.
  • Has the ability to take minutes & coordinate meetings and diary commitments.
  • Strong formatting, attention to detail and a strong command of written English language.
  • Works well in a busy and demanding environment.
  • Able to prioritise and manage a large and conflicting workload while being able to work under pressure to deadlines.
  • Good organisational and interpersonal skills.
  • Excellent telephone/communication skills.
  • Ability to compose correspondence from fragmented instructions on behalf of the Senior Manager.
  • Has strong computer literacy and proficient in using Microsoft Office 365 (including Outlook, Teams, Excel, Word and OneNote)
  • Work well independently and as part of a wider team.
