Mental health services

  • We provide a wide range of treatment and support to young people, adults and older people experiencing mental illness both as inpatients and within the community. This includes treatment in secure and specialised settings.

Community health services

  • Our diverse range of community health services provide support and treatment to both adults and children. We deliver this care in community hospitals, health centres, GP surgeries and in people’s homes.

Learning disabilities services

  • We provide crisis support and inpatient services and our community learning disability teams work in partnership with local councils to provide assessment and support for adults with learning disabilities.

Social care

  • We provide personalised social care support to people with a range of needs, including people with learning disabilities or mental illness, supporting people to live independently.

The role

This role is to provide administrative and finance support function to Enable East, to include
the processing of financial information in accordance with Trust procedures, and to provide
assistance and advice as required to a range of suppliers and services to the organisation

care organisations to deliver effective projects and measurable improvements. A ‘common

Key responsibilities

Business Admin duties

  • Receive and deal appropriately with incoming calls, emails and verbal
    communication from customers and suppliers.
  • Administration of the Enable East generic email account, ensuring a timely response
    to enquiries.
  • Establish and maintain effective filing and pending systems which provide for prompt
    and accurate retrieval of information.
  • Establish and maintain databases/spreadsheets on a range of issues as required.
  • Take and type minutes as appropriate to a high standard and ensure relevant and
    timely circulation prior to meetings.
  • Type general administrative correspondence from audio and written materials, and
    from electronic equipment using Microsoft Office Professional Suite.
  • Preparation and processing of documents including photocopying and attending to
    postal collections / deliveries.
  • Administration of commercial contracts including updating the relevant databases.
  • Prepare and format Associates’ CVs into the Enable East corporate style.
  • Arrange suitable venues for meetings and assist in travel arrangements for senior
    management team members.
  • Source accommodation and organise travel arrangements for Enable East
    Associates in line with specific customer/contract requirements.
  • Prepare reports for the Associate Director as required
  • Ensure hospitality to all visitors of Enable East
  • Able to demonstrate keen eye for detail, in particular for processing publications,
    proof reading, maintaining databases of information and dealing with frequent
    interruptions to workload
  • Provide finance and administrative support to both the core business processes and
    the wider Enable East team as required.


Finance duties

  • Provide and receive information to and from customers and suppliers concerning
    non-payment, incorrect or late payments or other sensitive issues, and discuss
    complicated financial matters concerning invoices and payments.
  • Assist with maintaining the Enable East Associates database and Business Model.
  • Assist with the uploading of reports, mandates and contracts to the Business Model.
  • Maintain the customer contact database.
  • Be responsible for the completion of salary returns for Enable East.
  • Provide administration support for the accounting of petty cash in the department
  • Knowledge of finance computer systems and of other finance areas, such as finance
    coding structures, petty cash, VAT, sub-contractor reconciliations.
  • Input financial data into computerised systems and creates financial spreadsheets
  • Input and manipulate financial data into computer databases and spreadsheets
    where speed and accuracy are essential
  • Responsible for raising orders and goods receipting invoices ensuring they are
    processed in a timely manner.
  • Responsible for ordering all stationery including non-stock requisitions forthe
    service/building


General

  • Ensure that service specific protocols and guidelines are updated as necessary.
  • Work with the Business Manager and members of the team to contribute to the
    smooth running of Enable East.
  • Establish good working relationships with other Directors’ administrative support.
  • Have the ability to work independently and to participate in organising own workload.
  • Be able and willing to demonstrate duties and office systems to new starters, and to
    provide training to end users.
  • Undertake specific responsibilities as identified by the Associate Director which are
    commensurate with the role and pay band of the post.
