Job summary

Due to business growth and investment NEMS are actively recruiting 1 full time or 2 part time Rota Team Coordinators to join the team. The rota team coordinator will support the NEMS Management team in the delivery of Clinical and Operational rotas and will directly report to the GP and Nurse Rota team Manager. As a Rota team Coordinator, you will be the first point of contact for any rota queries we receive from our Nurse, GP, HCA and Registrar workforce. Your main duties will include the day-to-day management of our GP and Nurse rota by ensuring all vacant shifts are filled to the agreed establishments and to monitor/respond to all queries received in the rota team email inbox. In addition, you will also provide administrative support to the wider NEMS teams.

Main duties of the job

Ensure NEMS Clinical and Non-Clinical rota management issues are appropriately handled in accordance with NEMS Policies and Procedures, seeking advice and support as necessary.

Day to day operational responsibility for NEMS Clinical and Non-Clinical rotas. Responding to short notice episodes of sickness, shift cancellations, etc.

Proactive and forward thinking to clearly identify gaps and contribute to the filling of vacant shifts to ensure service coverage on NEMS Clinical and Non-Clinical rotas.

Contribute with the development, establishment and delivery of rota rules.

Liaise with agency partners to ensure booking and cancellation requests are actioned.

Support with facilitating OOH placements for GP Trainees.

Attend daily meetings with the Operational Management Team and deputise, where required, in the absence of the NEMS Nurse and GP Rota Manager in other meetings.

General oversight of training requirements ensuring all changes are reflected on the rotas.

Assist wider NEMS Operational Management Team with day-to-day administrative tasks where necessary.

Maintain confidentiality and data security in line with organisational policies and GDPR regulations.

Assist with set ups of new starters and support with induction processes.

Assist NEMS Finance Team with invoice processing with daily shift adjustments and the completion of break reports.

Assist NEMS Governance Team with management of mandatory training files.

Team Collaboration

Work as part of a multi-skilled team including medical, nursing, and support staff to deliver accessible healthcare services.

Develop close working relationships with Operational and Clinical Management teams to support service delivery.

Participate in team meetings, contributing to the continuous improvement of patient services.
