Job summary

Eastwood Community Endoscopy Centre is looking for dynamic individuals to support covering a busy reception when needed.

Main duties of the job

The Receptionist plays a key role in supporting the efficient running of the Endoscopy Centre by carrying out clerical and administrative duties and ensuring a professional, patient-focused environment. The post-holder will act as the first point of contact for patients, visitors, and healthcare professionals, ensuring a welcoming and supportive atmosphere while upholding confidentiality, safeguarding, and data protection standards.

About us

Eastwood Community Endoscopy Centre is based in Leigh-on-sea and provides solely NHS activity activity, supporting faster access for patient who require endoscopic examinations and also reducing the pressure on secondary care.

The centre currently has 2 procedure rooms and a dedicated decontamination suite onsite for efficiency.

Eastwood Community Endoscopy Centre has dedicated Clinical Leadership, Managerial Leadership, Registered Endoscopy nurses, experienced decontamination technicians and experienced administrators - all of whom play a key part in effective service delivery.

The centre is CQC registered as of December 2021 and is JAG accredited since October 2024

Job description

Job responsibilities

Clerical

1. Welcome patients and visitors to the centre in a courteous, professional manner and direct them to the appropriate waiting area.

2. Book patients into the centre using the designated IT system (e.g., SystmOne), ensuring all relevant documentation (including patient disclaimer forms) is completed.

3. Maintain accurate and up-to-date patient records in line with data protection requirements.

4. Act as a point of contact for booking enquiries from patients, staff, and primary care services.

5. Contribute to short- and long-term planning of procedure lists to ensure effective service delivery.

6. Liaise with patient transport services where required, ensuring safe and timely arrival of patients.

7. Scan, upload, and manage patient documentation in accordance with policies and procedures.

8. Send electronic correspondence to third parties (including GP practices) in a secure and timely manner.

9. Support the transfer of confidential information to secondary care, including two-week wait referrals and imaging requests.

10. Respond to day-to-day enquiries from patients, clinicians, and colleagues in a professional and empathetic manner.

11. Assist in maintaining a safe, clean, and welcoming reception area, reporting hazards or concerns promptly.

General

1. Promote and uphold the standards, values, and behaviours of Eastwood Community Endoscopy Centre in line with NHS principles.

2. Participate in annual appraisal, supervision, and personal development reviews.

3. Take reasonable care for personal health and safety and that of others, complying with Health & Safety at Work Act (1974).

4. Complete all mandatory training and participate in relevant developmental opportunities.

5. Contribute to team meetings and quality improvement initiatives, supporting continuous service improvement.

6. Undertake duties flexibly and in line with service needs; this job description will be reviewed regularly in consultation with the post-holder.

7. Comply with the Working Time Regulations (1998). Overtime or additional hours must be discussed and authorised by a line manager.
