Job summary

This post can be full, part time or job share, the afternoon session will be until 18.15pm.

Welcoming patients and visitors face to face and over telephone

Ensure confidentiality is maintained at all times

Establish reason behind visitors attendance/call to surgery in a friendly and courteous manner

Ensure patient is dealt with in an efficient and appropriate way

Shred confidential information on a regular basis

Observe health and safety guidelines at all times

Ensure enquiries/telephone calls are actioned in a prompt manner and where necessary passed to the appropriate responsible person

Management of Patient Registrations

Take necessary details from patient to ensure appropriate registration form is provided to patient

Ensure all required details on the registration forms are complete

Management the movement of medical records

Appointment management:

Verify patient by checking date of birth, address and contact details

Locate appropriate appointment type based on information provided by patient with appropriate healthcare professional

Effectively handling requests for cancellation and rearranging of appointments

Actioning requests/directions from doctors/nurses diary management

Create requests for home visits and passing clinically based messages promptly

Main duties of the job

Ensure all necessary, appropriate and relevant information is obtained to deal with problems

React to directions to call in patient groups where required and with appropriate training

Manage online access

Safeguard all keys, cash and accessible patient identifiable information

Review personal and teams responsibilities regularly

Use initiative and competence to identify outstanding actions and tasks accordingly

Action relevant tasks and responsibilities promptly, efficiently and professionally adhering to Practice protocols and staff handbook

Qualifications

Essential

  • Excellent Customer Service experience
  • Computer literate in Word and Outlook
  • Good Listening skills and attention to detail and accuracy
  • Professional verbal and written communication skills are essential
  • Excellent command of spoken and written English
  • Able to demonstrate flexibility and adaptability in a changing environment
  • Able to work constructively with internal and external parties to resolve issues
  • Ability to work under pressure while maintaining a positive professional attitude
  • Ability to work as part of the team
  • Able to multi-task

Desirable

  • Knowledge of medical terminology
  • Be familiar with and adhere to the practice safeguarding policies, procedures and guidance for both children and adults at risk of abuse or neglect. This must be in conjunction with the Multi-agency Safeguarding Children and Safeguarding Adults at risk of abuse or neglect Policy, protocols and guidance.
  • All employees should undertake mandatory safeguarding children, adults, and MCA training (as appropriate to role) including updates and other professional development activities to ensure training compliancy.
