An exciting opportunity has arisen for a motivated and enthusiastic Receptionist to join our Administration Team, based in Crawley. You would be based at our new Centre, which is due to open on 7th October.

Main duties of the job

Working alongside the Office Manager, Senior and Clinical Administrators, as the first point of contact for patients you will play a crucial role in providing a high-quality, efficient and professional reception and administration service to our patients and stakeholders.

You will be facilitating great customer service which will foster patient satisfaction and further strengthen our brand and reputation.

Patient facing, you will be a part of a highly driven and talented team.

You will have the following skill set:

Proven reception and general administration skills

Experience in using healthcare IT system(s) for the management of patient information

Excellent communication skills

Job responsibilities

JOB PURPOSE

As the first point of contact for patients visiting and contacting the clinic, this position is one of the primary representatives of Pioneer. The Receptionist is responsible for providing a high-quality, efficient and professional reception and administration service to our patients. It also plays a pivotal role in supporting the administration team and Office Manager in the provision of an outstanding service to patients, staff and external health care professionals.

The post holder works independently and as part of a dedicated team, ensuring that reception and administrative work is conducted within required timescales and to the highest possible standards.

The role will help to continually embed Pioneers values; putting Patients First; effective Communication; invest in Staff Development; strive for Excellence; and advance practice through Research.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

1.To be conversant and compliant with all statutory and non-statutory policies, guidelines and procedures.

2.To be the first point of contact for patients visiting and/or contacting the clinic, by greeting patients as they arrive, answering telephone enquiries and ensuring patients are directed to the appropriate healthcare professional.

3.To assist with managing issues and queries from all stakeholders, escalating to the Senior Clinical Administrator or Office Manager as appropriate.

4.To assist with the management of appointments and referrals, telephone and patient enquiries along with all general reception duties.

5.To support colleagues collaboratively with administration tasks.

6.To provide cover for periods of sickness / annual leave when required.

7.To undertake data entry / collation; processing and recording information in accordance with Pioneer procedures.

8.To maintain filing and administrative systems ensuring information is easily accessible and secure.

9.To be responsible for office equipment, ordering and maintaining office supplies, stationary, patient leaflets, as directed by the Office Manager.

10.To provide meet and greet services to all patients, demonstrating excellent customer service.

11.Undertake additional duties / specific projects that may be required within the scope of this position.

GENERAL RESPONSIBILITIES AND ACCOUNTABILITIES

12.To be familiar with and adhere to the policies and procedures of Pioneer WHLC.

13.To achieve and demonstrate agreed standards of personal and professional development within agreed timescales.

14.To participate fully in the performance and development review (appraisal) process and undertake Continuing Professional Development as required.

15.To participate in surveys and audits as necessary in order to enable the Company to meet its statutory requirements.

16.To demonstrate excellent communication skills for dealing with a wide variety of patient queries and needs.

17.Regularly attend training and meetings.

18.To support the Senior Clinical Administrator / Office Manager to ensure the office environment is tidy and safe.

19.To be aware of the Companys emergency planning processes and follow such processes as necessary, in the event of an unexpected incident.
