Job summary

Barnet Federated GPs is looking for a Service Administrator to join our friendly, dynamic and progressive organisation. The successful candidate will mostly be working remotely, but may be required to work in Barnet sites supporting the Services Team.

As a service administrator, you will be an integral part of the team. You will support clinicians and other healthcare professionals to ensure a smooth delivery of the agreed care between the Federation and patient. You will be required to handle calls from patients, carers and healthcare professionals.

Main duties of the job

  • Answer telephone calls and e-mails and manage all communication in a controlled and professional manner.
  • Communicate effectively with colleagues as well as with callers/patients. Handle all calls with empathy, respect, and consideration. When dealing with difficult callers, keep a calm and professional manner.
  • Efficiently manage rotas and clinics using Rotamaster and EMIS software.
  • Ensure accurate management of referrals, rejections and other tasks arising from Federation and Primary Care Networks provision of extended access and other services.
  • Liaise with hubs to ensure that services are provided efficiently
  • Support meetings and take minutes.
  • Support the safeguarding of individuals. Relate to others in ways that support rights, inclusion and the wellbeing of individuals, supporting individuals to keep themselves safe.

About us

Barnet Federated GPs is a rapidly growing GP Federation whose shareholders include all 48 practices in Barnet, covering over 425,000 patients. Within this, we are divided into 7 Primary Care Networks (PCNs), each with its own leadership structure. Barnet Federated GPs is made up of a small, office-based team along with some clinical and non-clinical staff whom we employ on behalf of the PCNs. We currently have an enthusiastic and very supportive Board of Directors leading Barnet Federated GPs who are focused on supporting and sustaining Primary Care in the London Borough of Barnet.

Ensure accurate collection of demographic details of patient/ caller. Record information in the supplied EMIS software. Call back selected patients, where and when necessary or, if requested to do so.

Communicate effectively with colleagues as well as with callers/patients. Handle all calls with empathy, respect, and consideration. When dealing with difficult callers, keep a calm and professional manner.

Direct requests for assistance, care or treatment using protocols or guidelines by signposting selected callers to the most appropriate care/service

Support the achievement of quality standards and performance measures. The calls may relate to the following: -Appointments- Courtesy calls/calls back - Repeat medication (prescription) provision of service information and/or transfer to appropriate service or person- Health information - Location of services - Healthcare provider calls

Support the safeguarding of individuals. Escalate a call or seek advice about a call from colleagues if concerned. Relate to others in ways that support rights, inclusion and the wellbeing of individuals, supporting individuals to keep themselves safe.

Maintaining accurate records and efficient filling systems.

Supporting with the day-to-day administration of Federation services ensuring information is managed correctly, filed, and followed up accordingly.

Communicating with the internal team, as well as (but not exclusively) member practices, partner organisations, secondary care and the voluntary sector
