Job summary

The Business Operations and Delivery team sits within the wider Prevention and Long-Term Conditions (PLTC) Programme within the medical directorate. The PLTC Programme covers Prevention, AMR, Diabetes, CVD-R and Public Health.As Administrator, the postholder will work as part of a dynamic PMO team delivering an effective service supporting the Prevention and Long-Term Conditions Programme.We are looking for an individual who is highly organised, proactive, a team player and holds a 'can-do attitude'. Main duties of the job

As Administrator, the postholder will support the PMO team with essential administrative services. These include, but are not limited to:

  • Management of the PLTC PMO mailbox; ensuring enquiries are responded to in a timely manner and there is appropriate distribution across the team.
  • Ensuring appropriate filing of emails and documents, in line with organisational policy.
  • Supporting travel and accommodation bookings across the PLTC programme.
  • Co-ordination of Freedom of Information and Parliamentary Questions, including maintaining FOI/PQ tracker.
  • Supporting with meeting management across the PLTC programme and Senior Management Team, including preparing agendas, booking rooms, organising guest speakers, circulating meeting papers and communications.
  • Provide diary management support where needed across the Senior Management Team.
  • Supporting events / team away days across the programme, including room bookings, equipment, supporting agenda planning, coordinating key materials.
  • Disseminating key communications to the PLTC programme team.
  • Supporting with the day-to-day administrative tasks assigned to the team.

Colleagues with a contractual office base are expected to spend, on average, at least 40% of their time working in-person.
