Job summary

The private office of the Chief Operating Officer delivers an intelligent, high-functioning executive support model to the COO responsible for strategic, operational and logistical activities and advising on all aspects of the role. It is a small team who ensure the COO has what they need to deliver outcomes and achieve change. Colleagues in the team give effective, insightful and honest advice to the Chief Operating Officer on all aspects of their operation - from policy decisions, resourcing asks to logistical arrangements.

Main duties of the job

As Executive Assistant you will be a pivotal player as part of a small high-performing Private Office team for the Chief Operating Officer of NHS England. The COO directorate is one of the largest in NHS England spanning a wide range of high-profile programmes including UEC, electives, and supporting challenged systems through the Recovery Support Programme. You will support the Chief Operating Officer and the team to deliver a broad list of tasks that will change from day to day, including managing the COO's diary and other logistics. The role involves regular engagement with private offices at the most senior levels of government, other NHSE National Directors, and key external partners, and so high-quality stakeholder management skills are a core requirement of this role.

The Executive Assistant role requires you to deliver to exceptionally high standards, and at great pace. Attention to detail and a continuous improvement mindset is required. You will need to be comfortable working at pace and managing multiple priorities and will be well supported by your colleagues to help achieve this.

  • Significant Private Office experience providing forensic diary management and secretarial support to an Executive Director and their team as part of an operationally focused national directorate, able to work in the Wellington House offices on a regular basis, potentially up to 4 or 5 days per working week as required and willing to be flexible depending on business needs.
  • Experience of acting as a main point of contact in a busy Private Office with a range of stakeholders including Board level executives; able to remain calm under pressure and provide business support to these colleagues as required. Experience in stakeholder management, providing support and challenge as needed.
  • Clear, effective and confident communicator able to research and draft correspondence and papers, supporting the development of internal and external communications from the Executive Director as required.
  • Able to work with discretion and autonomously on own initiative, organising and prioritising own and others' workloads to changing and often tight deadlines.
  • Experience of financial management processes, for example supporting budgeting, forecasting and tracking spend of activities ensuring appropriate authorisation for all expenditure.
