We are therefore recruiting to a Records Reviewer role to join the Knowledge and Information Management Team on a permanent basis.

This exciting role will be responsible for undertaking the review of NHSR records to ensure that NHSR complies with the Public Records Act, the Freedom of Information Act and the Data Protection Act. The post holders main responsibility is to conduct The National Archives (TNA) records review process and to make their recommendations.

In addition to having basic knowledge and understanding of records management, and excellent organisational skills the Records Reviewer will demonstrate the following competencies:

Main duties of the job

The Records Reviewer is responsible for undertaking the review of the organisations records to ensure that NHSR complies with the Public Records Act (PRA). The PRA requires NHSR to identify and select records for permanent preservation of information of historical value and to ensure their transfer into the custody of TNA.

The post holders main responsibility is to review paper and electronic records. This involves the following:

  • The identification and requisition of records from the appropriate archives
  • Recognising those records which are likely to be required by the organisation
  • Selecting those records that should be permanently preserved and to TNA, after review for any sensitive information.

During the review process will select those worthy of permanent preservation. With those records (or elements of records) selected for transfer to TNA which remain sensitive and which should not be released to the public prematurely, will have the appropriate exemptions applied for approval by the Advisory Council.

Also responsible for the disposing of files in accordance with the authorised decisions of the Records Officer and Analyst. For either onward transmission to TNA for permanent preservation, return to the Archives for destruction or administrative retention if less than 20 years old, or for the appropriate Retention Instruments to be applied for redaction or retention due to sensitivity.
