Job summary
The post holder will provide a professional, effective and efficient coordinator and administrative support role to the Governance & Compliance Department by supporting the oversight and co-ordination of the governance, risk and compliance programme for the LLP.
The post holder must ensure that the service operates efficiently achieving high levels of quality, resilience and responsiveness. The post holder must help to ensure internal processes are adequate and functional for the LLPs needs and play an active role in developing, implementing, monitoring and measuring systems and processes to ensure legislative compliance.
Main duties of the job
- secretarial and administrative support service to the PA to the Director of Governance and Director of Finance
- act as a system administrator for Insight4GRC's governance and compliance suite , enabling users to update records or obtain reports in real time via a web browser
- as a member of the Governance Team; manage and maintain the 4Risk, 4Action, 4Performance and 4Policies modules on Insight4GRC
- preparation of meeting agendas and collate any related documents and information relating to meetings
- attend meetings to take minutes, type up minutes and disseminate within strict deadlines
- maintain office systems, including data management
- provide cover as the named person (Central Alerting System Liaison Officer) to manage the central alert system, ensuring appropriate distribution of alerts and collation and return of responses
- liaise and provide reports and statistics to internal and external bodies on alert status and compliance levels
- support the Governance team in undertaking the Premises Assurance Model Audit for the LLP's Estates and Facilities annual self-assessment
- support the production of the Monthly and Annual Master Services Agreement Performance and Assurance Report for the Clients of the LLP
- support the collation and distribution of Freedom of Information requests on behalf of the LLP's clients
- ordering of supplies for department and processing invoices
