Job summary

The aim of the service is to be 'The best Medical Engineering Service in the NHS' and the post holder is required to contribute to this competence.

Administration of the Medical Devices Asset Registers

Renew service contracts with outside contractors.

To provide an administrative service to the Medical Engineering Department.

Main duties of the job

  • Responsible for the control of all clerical related tasks within the Department.
  • Processing, in accordance with standing financial instructions, all necessary documentation and processes for the purchase of stock and non-stock items ensuring best value for money is obtained.
  • Liaise with appropriate external companies regarding the progress of all ordered items, ensuring that records of progress are kept up to date.
  • Responsible for co-coordinating the receipt of all goods inwards to include processing necessary documentation
  • Assists with checking invoices forwarded by Finance and answering queries from Finance regarding completed or unpaid invoices.
  • Support the Head of Medical Engineering with progressing new and renewable internal and external annual maintenance service level agreements and contracts. Ensuring that progress sheets for each contract are kept up to date.
  • Support the Head of Medical Engineering with the Medical equipment replacement programme
  • Maintain the medical equipment asset register
  • Prepare meeting agendas, take minutes of meeting, produce and distribute minutes prior to meetings etc.
  • Devise and maintain relevant filing systems for the department.
  • Provide front of house reception services.
  • Assist in training new staff members in correct ordering procedures.
