Job summary

Inclusion Thurrock Talking Therapies Service is provided by Inclusion, which is part of Midlands Partnership NHS Foundation Trust. At Inclusion we believe that the individuals and families who use our services should receive a high quality, committed and inclusive service.

An exciting opportunity has arisen; for two fixed term Band 2 Receptionist / Administrators positions at Inclusion Thurrock Talking Therapies Services. These posts are available on a fixed term basis for 1 year.

This is an excellent opportunity for a motivated, well-organised person who is proficient in using IT systems and eager to join a dynamic team. This position is part-time, with evening hours from 16:00 to 21:00 from Monday through to Thursday. For the two locations, these posts will act as a cross-over cover.

Locations:1) Corringham Integrated Medical & Wellbeing Centre (CIMWC), The Sorrells, Stanford-le-Hope SS17 7ES.

2) Inclusion Thurrock, 55-57 High Street, Grays, Essex RM17 6NB

Main duties of the job

Inclusion Thurrock Talking Therapies is a busy and developing service providing primary care mental health services across Thurrock. We currently have a vacancy in our admin team that would suit someone who has excellent communication skills, are able to deal with people kindly and sensitively, both face to face and on the telephone, someone who enjoys a challenge, understands that detail, confidentiality and focus is important when dealing with clients and client information, and enjoys the support, flexibility and job satisfaction that comes from working as part of a dedicated admin team.

This is a primary care, Mental Health service and does not deal with clients in crisis. However, we often see clients who are extremely distressed anxious depressed and confused. It's important that you are able to deal with clients calmly confidently and being aware of professional boundaries. Experience of working in a primary care or mental health setting would be an advantage but not essential.

The work can be varied and involves reception work, face to face and telephone contact, with service users and organisational duties for therapists and managers. The administration team and reception staff are often praised and complimented for their response to clients and for providing a calm welcoming and professional first contact. This is the culture we wish to maintain and improve upon as we continue to develop services for our communities across Thurrock.

RECEPTION

  • Welcoming and receiving patients for their appointments, consulting with members of team.
  • Processing personal and telephone requests for appointments, telephone consultations, remote and face to face appointments and ensuring callers are directed to the appropriate team member.
  • Registering new patients and referrals, checking all details for accuracy and enter on our patient computer database.
  • Taking messages and passing on information.
  • Initiating contact with and responding to requests from service users, other team members and associated healthcare agencies and providers.

GENERAL ADMINISTRATION

  • Carry out administrative tasks, including sending and receiving emails from the Admin Team mailbox, ensuring confidentiality is maintained.
  • Respond promptly to all incoming telephone calls and emails to ensure urgent matters are dealt with promptly with messages recorded and relayed accurately.
  • Monitoring any voicemails received and respond/action these promptly. Including any appointment cancellations or rescheduling of appointments.
  • Dealing with enquiries to the service by patients and their family, health professionals.
  • Attention to detail is vital in this work at all stages of data entry, taking and recording messages and communications within the service.
  • Entering data accurately according to IAPTus programme requirements and service procedures. Extracting information on request to assist Locality Manager and Clinicians.
  • To carry out typing, word processing of reports, documents and correspondence.
  • To undertake photocopying duties as required.
  • Assist with setting up and maintaining filing systems.
  • Carry out general office duties as appropriate, using equipment as provided.
  • Responsible for providing high quality administrative support to the multi-disciplinary psychological therapies team including room bookings, responding to staff sickness alerts and batch distribution of patient correspondence.
  • Diarise work to be completed weekly / monthly.
  • Complete any course administration and update on the system accordingly.
  • Expected to use own initiative to deal with routine matters.
  • Responsible for monitoring batch printing requirements and ensuring timely action or delegating to other team members if necessary.
  • Close liaising with Admin Team Leads to organise own workload to meet priority needs and reduce risks to service quality.
