An exciting opportunity has arisen; for full time Band 3 Administrator role at At Risk Mental States services (Inclusion Thurrock). This is an excellent opportunity for an enthusiastic, organised individual who is competent with IT systems and is keen to become an integral part of a fast paced team. This role is part time hours Monday to Friday.
At Risk Mental States is a busy and developing service providing mental health services across Essex. We currently have a vacancy in our admin team that would suit someone who is confident, enjoys a challenge, understands that detail, confidentiality, and focus is important when dealing with clients and client information, and enjoys the support, flexibility and job satisfaction that comes from working as part of a dedicated team.
This is a Mental Health service and does not deal with clients in crisis. However, we often see clients who are extremely distressed anxious depressed and confused. It's important that you are able to deal with clients calmly confidently and being aware of professional boundaries.
The work can be varied and involves reception work, face to face and telephone contact, with service users and organisational duties for therapists, managers and multi agencies.

Main duties of the job
To provide specific comprehensive secretarial and administrative support to the ARMS service. To be available for any receptionist and administrative support to the array of Inclusion services as required.

KEY RESPONSIBILITIES
- Provide a full reception/secretarial service to the clinical service which, as this is a centralised admin team, will involve answering client and stakeholder/ referrer phone and email enquiries.
- After training, Registering referrals on to system one with an assured attention to detail.
- Preserve and uphold confidentiality of all client information.
- Maintain filing systems.
- Be responsible for receiving incoming post and deal with any items where appropriate. Bring to the attention of team members any items relevant/appropriate for them to see/action.
- Be familiar with the confidential referral system operated by the team.
- Arrange assessment appointments for patients by telephone / SMS as appropriate.
- Assist in all general office duties as and when required.
- Be competent in using all aspects of the Service clinical database to register patients, send opt in letters, follow up correspondence with patients and referrers.
- To support staff in developing and maintaining Data Quality
- To support Inclusion Management in the production and dissemination of service activity reports.
- Provide G.Ps, other professionals, staff relatives, service users, and other agencies with educational information and self-help materials.
- Provide secretarial support to committees and meetings as appropriate.
- Be familiar with team meeting structure. Prepare and take minutes where appropriate.
- To be aware of the need to retain NHS standards of confidentiality at all times.
- Be prepared to assist team members with aspects of their work where appropriate.
- Be prepared to work flexible hours. May include some evenings/Saturday mornings (enhancements paid).
- Take a significant part in placing advertisements and supporting recruitment campaigns.
