Job summary

Digital Health and Care Wales is a new and ambitious organisation. Created by Welsh Government to lead on the digital transformation of health and care across Wales, providing digital-first service model for the 21st century.

The Radiology Informatic System Programme (RISP) is part of DHCW and is tasked with procuring and implementing new radiology systems across Wales. As a Project Support Officer, you will be a member of the Programme Management Office (PMO) team and provide project and organisational support to the Programme.

This post is a fixed term/secondment for 36 months to meet the needs of the service.

Main duties of the job

Support the maintenance of appropriate logs and information systems this will include the DATIX system for managing risks, issues, incidents, actions and decisions in line with RISP processes.

To support PMO with project planning activities for projects and workstreams, including updating project plans, monitoring and updating in light of complex dependencies between projects and monitoring the delivery and key milestones.

To administer and maintain project and programme documentation using SharePoint in line with RISP and organisational best practice.

Support the planning and organisation of project events across Wales with the PMO team

To contribute to the general administration of the Programme as required, and other support functions as and when required.

Job description

Job responsibilities

Responsible for the preparation and drafting of routine and ad-hoc reports required by the PMO team.

Responsible for providing and receiving complex or sensitive information in relation to national projects and workstreams. This will include receiving technical information from key stakeholders that will need to be interpreted and communicated on to other stakeholders or team members.

Be responsible for the administration of key programme and project meetings, this will include formal Boards meetings and ad hoc meetings; arranging meeting times which may be complex due to short notice for meetings, time constraints for the meeting to take place and the availability of required attendees; arranging pre-meets for formal Board meetings with the Chair; drafting agendas and preparing the papers in an often-tight deadline for circulation; and recording minutes and actions.

To support the PMO in recording the status of products and ensure appropriate governance and assurance has been completed prior to implementation of products. This will include supporting and/or ensuring there is suitable change and version control and any required configuration management of products.

Support the design and delivery of presentations to a range of stakeholder audiences.

Be responsible for the PMOs Procurement Assurance Forms, placing orders on ORACLE and receipting orders once received.
