Job summary
At NHS Blood and Transplant (NHSBT), you'll provide a high-quality, confidential PA and admin service that helps senior managers focus on delivering life-saving services. You'll manage busy diaries, plan meetings and events, prepare clear papers, and take accurate minutes with actions that keep work moving. You'll handle sensitive enquiries with care and good judgement, often working to tight deadlines and changing priorities. You'll also support recruitment activity, keep records up to date, and help new colleagues and managers settle in quickly by sharing guidance and practical support. If you're organised, calm under pressure and take pride in getting the details right, you'll make a real difference to how our teams work every day.
Main duties of the job
- Be the trusted first point of contact for senior managers, handling enquiries promptly and with discretion.
- Keep priorities on track by managing diaries, planning meetings and protecting time for key work.
- Help decisions happen by preparing agendas and papers, taking accurate minutes and following up actions.
- Support quality communication by drafting professional correspondence and producing documents to a high standard.
- Make travel, accommodation and expenses straightforward by organising arrangements and keeping clear records.
- Keep the team running smoothly by maintaining records for leave, training, absence and payroll processes.
- Play your part in improving how we work by supporting admin processes, reporting and databases.
- Contribute to a supportive hub by covering colleagues during busy periods and sharing knowledge.
- Help new starters feel welcome by supporting inductions and coaching new or junior admin colleagues.
