We have a vacancy for a Part Time receptionist / care navigator (16hrs)> This is an excellent opportunity for the right candidate.

This is a varied and sometimes challenging position but is also an interesting and fulfilling position, whilst working with a very professional team.

Main duties of the job

Duties to include, but are not limited to:

Answering telephone calls, booking / changing patient appointments, signposting patients to the most appropriate service for their needs. Handling repeat prescription requests, whilst utilising the help of our prescribing team. Dealing with patient queries and general assistance to the practice team.

The successful candidate would have great communication skills, be computer literate, empathetic, calm and courteous at all times and be able to work as part of a team or on their own.

Abersychan Surgery is a Training Practice, located north of Pontypool. We are a friendly family practice, currently serving over 10,600 patients. The practice has scored highly in the annual patient survey over the past 2 years. We have a high work ethic and a fantastic team who were the winners of the RCGP (Wales) award in 2017.

Job description

Job responsibilities

Reception Duties:

1) Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice.

2) Deal with all general enquiries, explain procedures and make new and follow-up appointments.

3) Word Processing / Excel / AccuRx / IPlato / WCCG / EMIS Web (Training given)

4) Photocopying, Scanning and safe recording onto patients records as required

5) Using your own judgment and communication skills to ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner. Care Navigation training is provided within first 3 months.

6) Promote Self-Care, use of the Common Ailment Scheme, Digital Tools (e.g. NHS Wales App), Practice Website and local wellbeing services

7) Stationery Ordering for your own Department via management team.

8) Self Help for incidents that arrive for Telephones / Printers / photocopiers etc.

9) Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.

10) Enter requests for home visits into the home visits book, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor.

11) Action repeat prescription requests and ensure that they are ready for collection by the patient, in line with Practice protocol with the help of the Prescribing team.

12) Take action on clinicians requests for further information/patient contact information etc. (including computerised Practice notes), ensuring completion of all associated paperwork.

13) Advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same.

14) Enter patient information on to the computer as required.

15) Ensure visitors to the practice sign in the visitors book and are looked after at all times.

16) Handle appointment bookings and cancellations efficiently

17) Work closely with GPs, Nursing Staff including Link Workers

18) Must have the ability to work as a team member at all times.
