The receptionist is the primary point of contact for patients ringing the surgery. The role will be to optimise the patients care navigation and be an ambassador for the practice. The purpose of the post holder is to take every opportunity to ensure that the patients presenting issue is managed appropriately and that patients are up to date with their routine appointments. This will be a telephone based role as well as dealing with walk in attendees who present at the surgery reception.
This role will enable the smooth running of the surgery and work in assistance with clinicians in delivering an efficient and competent level of accurate management of patient needs. This includes signposting and directing to the appropriate to the healthcare professional within cluster and LHB, and where appropriate, outside agencies.
Main duties of the job
Day to day you will report to the Deputy Manager and Reception Supervisor.
Our current receptionists start earliest 7:30am and latest finish is around 6:30pm. The surgery is open Monday to Friday and closed on weekends and Bank Holidays
This role will include communicating with patients in person, via telephone and email. This will cover a wide range of scenarios including booking appointments, answering general queries and signposting patients to the appropriate service or clinician.
Carry out administrative work as requested e.g. contacting patients for regular chronic disease reviews

Job responsibilities:
Reception
- Ensure that an effective and efficient reception service is provided to patients and all other visitors to the practice
Deal with all general enquiries, explain practice procedures
Book appointments, ensuring that the practices policy is adhered to as far as possible and that patients are signposted appropriately in accordance with the practices signposting guidelines
Personal judgment should be used in cases which do not fit within the practices policy and where discretion can be used
Explain registration procedures to new patients and patients seeking temporary treatment and ensure required forms are completed accurately
Handle incoming and outgoing telephone calls, including diverting calls, taking messages ensuring accuracy and prompt delivery of messages
Process house call requests ensuring required information is recorded and any requests falling within urgent guidelines are passed to the on-call doctor
Deal with clinicians requests to contact patients and obtain further information
Document actions taken in the patients clinical record to ensure that there is a full record of administrative actions
Inform patients of charges for private work and accept payment and issues receipts
Prepare clinical rooms for surgery sessions as required
Deal with prescription requests and processing as required
Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations so that the surgery is ready for patients
When last to leave at the end of the day, ensure that the building is closed down and secured
Assist in maintaining a tidy and clean working environment ensuring that workspaces are kept tidy and free of paper, that the kitchen areas are kept clean and tidy, washing up is done and that the clinical rooms and patient waiting areas are kept clean and tidy
Assist in ensuring that practice notice boards are kept up to date and tidy
Cover colleagues holiday and sickness absence as required
Make refreshments for doctors
Deal with faxes and mail as required
