Job summary

Mountain View Health Centre is a Surgery providing care for patients living in and around the Mayhill area of Swansea.

We are looking to recruit an enthusiastic committed medical receptionist to our friendly hard working team.

Although the core hours are Tuesday 7.45 am to 1.00 pm and Wednesday 10.30 am to 4.00 pm you will be required to work additional hours weekly to cover staff holidays and sickness.

Our aim at the practice is to provide a high standard of care to our patients.

Main duties of the job

To provide general assistance and support to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Receive and assist and direct patients in accessing the appropriate service or healthcare clinician at the practice in a courteous, efficient and effective way

Undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of clerical support to clinical staff and other members of the practice team

Facilitate effective communication between patients, members of the primary care health team, secondary care and other associated healthcare agencies

About us

We are a busy but friendly well organised GP surgery located in the Mayhill area of Swansea.

Our practice team consists of four GPs, one nurse practitioner, two practice nurses and nine administrators. We have outside staff attached to the practice which consists of a midwife, mental health nurse, district nurses and health visitors.

Job responsibilities

  • Opening and locking up of practice premises and maintaining security in accordance with practice protocols

  • Processing and distributing incoming and outgoing mail

  • Processing repeat prescriptions in accordance with practice guidelines

  • Computer data entry processing and recording information in accordance with practice procedures

  • Keeping the reception area, noticeboards and leaflet dispensers tidy and free from obstructions and clutter

  • Care Navigation of patient enquiries to the appropriate clinician/organisation.

  • Making appointments by telephone, handling requests for home visits and taking messages.

  • Dealing with requests for test results; being aware of the rules of confidentiality.

  • Receive and make telephone calls as required.

  • Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.

  • Undertake any other additional duties appropriate to the post as requested by the Supervisor, Senior Management Team or Partners.

  • Manage call demand alongside actioning patients tasks, online consultations, and answering reception e-mails.

  • Ability to identify which patients need a GP appointment, nurse appointment, nurse practitioner etc. and which can be dealt with administratively, following a clear documented protocol. E.g. patients needing a sick note

  • Provision of refreshments (tea/coffee) for staff and visitors as required and keeping the kitchen area clean and tidy

  • Attend mandatory training required to fulfil role as a medical receptionist
