Job summary

To be responsible for undertaking a wide range of reception and administrative duties and the provision of support to the multidisciplinary team.

Main duties of the job

Duties can include but are not limited to supporting the administration and receptionist teams with patient registration, booking appointments, processing of information (electronic and hard copy) in a timely manner and in accordance with current policies. To be responsible for the read coding of relevant information into patients electronic healthcare records on EMIS clinical system, adhering to the correspondence management policy.

To support staff with the distribution of information, messages, and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

About us

Castle Gate Medical Practice (formerly Chippenham Surgery) has been providing medical care to local patients since approximately 1840. Since then we have grown to provide care for a list size currently standing at approximately 14,260 patients - and increasing. We have a branch surgery in Raglan (9 miles from Monmouth). We have 9 GPs working at our Practice in addition to a great team of other clinicians, receptionists, admin and support staff.

Job responsibilities

The following are the core responsibilities of the Reception and Administrative Assistant. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

Maintain and monitor the practice appointment system

Process personal, telephone and e-requests for appointments

Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

Signpost patients to the correct service

Initiating contact with and responding to, requests from patients, team members and external agencies

Data entry of new and temporary registrations and relevant patient information as required

Input data into patients healthcare records as necessary

Direct requests for information, i.e., SAR, insurance/solicitors letters and DVLA forms to the administrative team

Manage all queries as necessary in an efficient manner

Carry out system searches as requested

Monitor and maintain the reception area and notice boards

Support all clinical staff with general tasks as requested

Process incoming and outgoing mail

File and store records as required

Photocopy documentation as required

Process and distribute incoming faxes and emails

Process changes to patient registration, deduction of record and new patient registration

Welcome patients and visitors to the organisation, directing requests appropriately

Scanning of patient related documentation and attaching scanned documents to patients healthcare records

Accurately clinically coding data on the clinical system into the patient record

Identifying relevant clinical information documented in patient correspondence, coding appropriately and completing any detailed action

Inputting and extracting data as required to support practice reports

Maintain a clean, tidy, effective working area at all times
