Job summary

We are looking for a person to join our existing administrative team.

Applicants should consider themselves capable of:

  • Ensuring that enquiries from patients and members of the practice team are efficiently and courteously handled

  • Working as part of a team.

  • Conducting themselves in a professional manner at all times

  • Adhering to confidentiality at all times

  • Managing and prioritising a multitude of different requests often under pressure

  • Being flexible and to be able to provide cover for the duties of other team members during periods of staff absence (holiday and sickness cover essential)

  • Good IT ability and knowledge of Microsoft Office / Teams / Email

Working hours are as follows - 26.5 hours

Monday - 12:30pm - 6pm

Tuesday - 1pm - 6:30pm

Wednesday - Day Off

Thursday - 8am until 1:30pm

Friday 8am until 6:30pm (30 min lunch break)

Main duties of the job

Main Duties of the Role

Specifically, a receptionist will be expected to be involved in:-

  • Service of patients enquiries face to face and on the telephone

  • Booking appointments appropriately following protocols

  • Using practice IT systems

  • Handling of prescriptions

  • Receipt and sorting of practice mail

  • Dealing with patient registrations

  • Cash handling / taking card payments for private services

  • Handling of all forms used within the practice

  • Working with the reception team to ensure continuity of service

  • Message handling

  • Maintaining both the manual and computer record system

  • The chaperoning of patients at clinicians request

  • Receipt of samples from patients and dealing with them appropriately

  • Clinic administration including photocopying/emailing

  • Destruction of confidential information

  • Supervision of waiting rooms

  • Preparation of consulting rooms for use

  • Any other duty relevant to the position
