Job summary
Mostyn House Medical Practice is a busy, friendly practice serving a population of 9600 patients. We are looking for a full time Administrator/Telephonist to join us on a full time basis on an initial period of 12 months to cover maternity. This post does have the potential to become permanent.
The hours are as follows:
Monday 8.30 - 5.00, Tuesday 1.30 - 6.30, Wednesday 9.00 - 6.00, Thursday 9.00 - 6.30, Friday 8.30 - 6.00
All applicants must have excellent communication and IT skills (experience using Microsoft) and be able to work flexibly in an extremely demanding and busy patient led environment.
Duties will include dealing with telephone calls, booking appointments, dealing with patients face to face and all other medical administration and reception duties.
Previous experience of a GP Practice and knowledge of the EMIS Web clinical system would be beneficial but not essential as training will be provided.
Must have GCSE English grade C or above.

Main duties of the job
The role entails but is not limited to:
Answering the phone to book patient appointments and deal with any other enquiries
Taking of messages
The production of repeat prescriptions
Dealing with tasks
Amalgamation of patient notes
Reception cover when required
Registration of new patients
The following up of patients who are due repeat blood tests
Training will be provided

Mostyn House Medical Practice is conveniently located in the commercial centre of Llandudno close to shopping precincts and the High Street.
Llandudno is a popular scenic seaside resort feted for its pier, its beach and its striking promenade. It is close to the historical town of Conwy and to the picturesque Snowdonia National Park. It has excellent transport links and is by car less than 1 hour from Chester and just over 1 hour from Liverpool. We are privileged to live and work in such a beautiful part of the country.
We are a friendly collaborative team of 7 GP's, 3 practice nurses, 1 advanced nurse practitioner, 1 healthcare assistant, a phlebotomist and an excellent supportive admin team who pull together to deliver General Medical Services to our 9600 patients. We are actively involved in the Conwy West Collaborative.

Telephone/Appointments/Advice:
To answer the telephone appropriately as per the practice protocol
Book the appropriate appointment for patients with the appropriate healthcare professional
Record patient information accurately
Deal with home visit requests
Forward calls to team members
Record and pass on messages
Deal with all general enquiries, explain procedures and make new and follow up appointments
Using your own judgement and communication skills, ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner
Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed
Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issues receipts for same.
Administration
To work in accordance of written protocols
Scan and workflow all incoming clinical documentation
Process repeat prescriptions
Process faxes
Fax and photocopy as requested
Tagging of new medical records
Complete tasks deal with urgent ones first
Dealing with test requests
Record patient deaths according to the practices protocol and inform the appropriate professionals in the practice
Pass insurance/solicitor requests to Kate
Pass complaints or Freedom of Information requests to the Practice Manager
Reception
Computer/IT
Deductions of patients leaving the practice
Process patients changes of address computer data and medical records (have knowledge of practice area)
Process repeat prescription requests in accordance with practice guidelines
Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures
Dealing with recall lists
Deal with the e mails in the enquiries and the routine enquiries email account
Use Accurx appropriately
Other Tasks
Ensure building security have thorough knowledge of doors/windows/alarm
Undertake any other additional duties appropriate to the post as requested by the partners or practice manager.
Cover lates as and when required
