Administration Team Leader

Job summary

Wootton Vale and Shortstown surgery has an exciting administration team leader opportunity for a flexible, self-motivated and hardworking individual. This position is offered on a full-time basis. The role will require you to support the senior leadership team to ensure the delivery of high-quality administration services, in our primary care GP Surgeries, through the effective organisation and delivery of services by our administration and reception team.   Duties will include;

  • Communicate with patients, visitors and practice staff to ensure surgeries run smoothly and on time.
  • Line manage and provide day-to-day leadership to the practice administration team.
  • Ensure procedures are maintained. 
  • Invite and recall patients for eligible health and routine checks. 
  • Prepare the staffing rotas and task lists for the administration team.
  • Assist with prescription requests.
  • Work in collaboration with other members of the management team to enable the practice to meet its agreed aims and objectives within a profitable, efficient, safe, and effective working environment.
  • Act as a role model, demonstrating leadership, training/mentoring and promoting the standards expected, by the practice, and creating the energy and enthusiasm for the service.
  Some flexibility is required as you will sometimes be required to work additional, or alternative, hours to cover for colleagues.   For further duties, please see job description attached. 

Main duties of the job

If you would like to be considered for this position, you will have the following experience and attributes;

  • Experience working in a customer service/front line environment
  • Competent IT skills
  • GP practice experience using TPP SystmOne or another GP clinical system desirable
  • Medical terminology an advantage
  • Adaptable and friendly, with strong administration, time management and organisational skills
  • An excellent communicator able to work in a confidential and discreet manner
  • Able to multi-task, work hard and resolve problems/issues
  • Manage a heavy workload
  • Able to work as part of a multi-disciplinary team, as well as demonstrating the ability to work independently

About us

We are a friendly surgery with a list size of over 18,000 patients, over two sites, Wootton Vale, (MK43 9JJ), and branch site Shortstown Surgery, (MK42 0GS).  Both practices are based on the outskirts of Bedford town centre and have easy access and free on-site car parking.  Both practices share the same clinical and management teams, & are active members of our PCN, (Caritas).     We have good appointment access, which means happy patients, and a strong teamwork ethos that includes an established clinical pharmacy team, GPs, nurses, physician associates, and a clinical liaison team who look after the clinical staff.    We embrace IT and automation and often pilot new innovations. We are an accredited GP training practice for nurses, pharmacists and doctors.   For further information please visit www.woottonvale.co.uk.
