Job summary

Knebworth & Marymead Medical Practice has an opportunity for a medical secretary/administrator to join their team on a full-time basis, for 37.5 hours per week.

With the increasing use of technology in general practice, medical secretaries are playing an increasingly important role in managing patient information and ensuring that healthcare providers have access to the data they need to deliver high-quality care.

Main duties of the job

  • Respond to patient queries in person, via telephone, and email in a professional and timely manner.
  • Schedule and manage patient appointments, including processing referrals and follow-up appointments.
  • Type and distribute medical reports, referral letters, and other relevant documents as required by the clinical team.
  • Update and maintain patient records using the practices electronic patient record system (SystmOne).
  • Manage all incoming and outgoing correspondence, including referrals, reports, and general communication.
  • Serve as a point of contact between the practice, patients, hospitals, and external healthcare providers.
  • Undertake general administrative duties such as filing, scanning, photocopying, and managing medical supplies.
  • Ensure all information is managed in line with GDPR and NHS confidentiality policies.

  • Primary care experience is highly desirable
  • Strong administrative experience and good organisation skills.
  • Sound knowledge of medical terminology.
  • Excellent general IT skills including MS Office and experience of working with a clinical system.
  • Experience in read-coding and work-flowing clinical documentation.
  • Excellent communication skills.
  • Understanding of the need to maintain confidentiality and data security, at all times.
  • Ability to multi-task and to work accurately under pressure.
  • Ability to work as part of a team, as well as independently.
