Job summary

Long Stratton Medical Practice has an opportunity for a medical receptionist to join our busy, friendly practice support team, on a part time basis for 24 hours per week (4 x 6 hour shifts). The rate of pay will increase to £10.75 per hour after successful completion of a 3 month probationary period and rise to £11.00 per hour after a further 3 months.

Main duties of the job

In this vital role you will receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way, while also providing general assistance to the practice team, projecting a positive and friendly image to patients and other visitors, either in person or via the telephone.

Long Stratton is a small town in South Norfolk, 10 miles from the historic city of Norwich. We have 11,500 patients on our list, a CQC rating of Good and operate from our both our main site and a branch site in Newton Flotman. We are also a dispensing practice with a dispensing list of around 5,500 patients. We use EMIS Web and run cloud-based telephony which links seamlessly with the clinical system and provides excellent functionality. We are renovating our existing building and our surgery is undergoing expansion work, with a new wing being added to include 7 clinical rooms. Work has commenced and is due to be complete by February 2024. The reason for the expansion is that Long Stratton is being bypassed, 2,000 new homes are planned and therefore potentially 5,000-6,000 new patients.

Job responsibilities

The main responsibilitiesinclude:

  • providing an efficient, caring and understanding reception service to our patients and any other visitors to the practice.
  • dealing with all general enquiries, explaining procedures and making new and follow-up appointments.
  • ensuring that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
  • explaining practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
  • ensuring that all new patients are registered onto the computer system promptly and accurately.
  • receiving and making telephone calls as required. Diverting calls and taking messages, ensuring accuracy of detail and prompt appropriate delivery.
  • sending via task messages requests for home visits, ensuring careful recording of all relevant details and following the surgery visit protocol.
  • entering patient information on to the computer as required.
  • providing holiday and sickness cover as requested. (the requirements of which are defined within your contract).
  • making and serving refreshments, ensuring the kitchen is kept clean and tidy.
  • undertaking any other additional duties appropriate to the post as requested by the partners, practice manager and senior receptionist.
  • registering new patients computer data entry and medical records.
  • processing patients change of address computer data and medical records (have knowledge of practice area).
  • deduction of patients that have moved out of the catchment area.
  • patient access setting up patients for online ordering of medication and booking appointments.
