Job summary

You will be joining our Failsafe team, in addition to the standard protocols in place which include appointing, tracking patients through the whole pathway, particularly the those patients who require an onward referral to the Hospital Eye Service, but also our failsafe team ensure that if something goes wrong in the patients pathway, administrative processes are in place and actioned to identify any errors in procedures, and have backup mechanisms to mitigate and reduce risk to patients.

Role: Deputy Administration Manager - Diabetic Eye Screening

Location: Kent & Medway

Salary: Competitive

Since 2011 InHealth Intelligence has been a proud provider of Diabetic Eye Screening Programmes across England. We currently have 15 Diabetic Eye Screening Programmes covering approximately 1.7 million patients. Our fully managed service covers all aspects of a quality DESP and is in full compliance with the national standards and best practice:

  • Cost-effective booking services including call and recall of patients for screening
  • Retinal screening / grading by trained and accredited professional staff
  • Innovative screening and surveillance software, Spectra
  • Grading of image sets at all levels
  • Automated referral for surveillance and Hospital Eye Service (HES) care
  • Provision of failsafe services
  • Patient centred website with a section for Healthcare Professionals
  • Provision of clinical leadership and internal quality assurance

What you will do:

Role Overview:

  • Liaise with hospital teams to ensure smooth operations of Failsafe services.
  • Manage local Failsafe Team and provide software training to embedded officers.
  • Ensure timely patient referrals, tracking, and compliance with national guidelines.
  • Maintain an overview of patient pathways, conduct audits, and ensure system safety.

Responsibilities:

  • Assist Failsafe Manager and deputize in their absence.
  • Line management for your local Failsafe Team.
  • Ensure timely patient referrals and tracking.
  • Review and audit patient pathways for compliance.
  • Assist in maintaining program reviews and improvements.
  • Collaborate with Hospital Eye Services (HES) Secretaries and Consultant Ophthalmologists for seamless DESP operations.
  • Conduct regular data quality checks and performance validations.
  • Identify and report serious incidents, near misses, and weaknesses to relevant parties.
  • Produce detailed reports for projects, Serious Incidents, and Internal Performance Reporting Conference calls.
  • Deputize for the Failsafe Manager in attending Programme Board meetings.
  • Stay updated on national guidelines and best practices in failsafe procedures.
  • Handle queries from Patients, Screeners, Hospitals, Optometrists, and GP Practices via phone, email, and postal communication.
  • Attend Multi-Disciplinary Team (MDT) Meetings as required.

Requirements:

  • Excellent organizational skills and attention to detail.
  • Customer service experience and ability to handle queries sensitively.
  • Knowledge of patient confidentiality and data protection.
  • Strong verbal and written communication skills.
  • Comfortable with audits and reporting.

Experience:

  • Failsafe operations within healthcare would be advantageous
  • Familiarity with NDESP standards, NSC guidelines, NICE, and NSF.
  • Proficient in quantitative and qualitative research methods.
  • Previous healthcare environment experience.
