Working Pattern:
Monday to Friday - 30 hours per week (every day)
The job holder will provide
administrative and typist support across any of the specialty/services provided
by Westcliffe Health Innovations.
The job holder will have some
involvement with Clinicians and relevant Team Leaders across the Specialty /
services to ensure that patients are treated in accordance with the companys
policy and procedures.
The job holder will be expected
to contribute to the daily delivery of the business by ensuring all tasks
required by the Team leader are completed in as timely and efficient manner as
possible.
It is expected that the job
holder will contribute to the development of an efficient service.
Main duties of the job
The main purpose of the job is to
aid administrative colleagues and to provide a comprehensive administrative
service to consultants and administrative staff.
The post may involve some administrative
duties when colleagues are on annual leave or absent due to sickness and will
involve making independent judgements but referring to Senior
Administrator/Team leader when necessary.

Services to NHS patients in Bradford and Leeds.

Transcribe documents from dictated tapes or
handwritten drafts
Prepare correspondence and reports by typing
them accurately
Create and maintain digital records
Check completed work for spelling, grammar,
punctuation, and format
File and retrieve documents, records, and
reports
Perform data entry tasks
Carry out administrative tasks as assigned
Gather and organise typing material
Create spreadsheets and presentations, combining
various data from existing files
Maintain physical and digital filing systems
Scan and print files, as needed
Keep information confidential in accordance with
GDPR and confidentiality policies
To assist colleagues with workload, providing
secretarial/administrative support relating to the Consultants and their teams,
including typing, filing, faxing, photocopying, opening and distributing mail
as appropriate.
To support speciality/services in typing clinic
letters and discharge summaries, medical reports, results letters.
Assist with any data collection and input that
is required at service level.
May be required to book patient appointments in
some circumstances
To ensure that files are kept up to date and
that all investigations and other material are available for clinic
appointments/admissions and that letters/results are filed in the appropriate
place in the case notes.
To ensure accuracy when administering any
relevant IT systems. The systems will
include Electronic Patient Record system 1 and/or other local systems IT
systems that records essential clinical and personal information about
patients word, internet and email.
Support administration colleagues during periods
of sickness, annual leave or training with support and guidance from seniors as
required.
Work in close liaison with administrative
colleagues and assists in the smooth running of the department to undertake
other clerical duties as delegated by Senior Administrator/Team leader when
necessary.
Assist or participate in the training of staff,
including temporary staff.
Such duties at a comparable level of
responsibility associated with the work of the post, that may vary from time to
time.
