The job holder will manage half of the Procure to Pay (P2P) administrative team (circa 4 team members) and directly assist with the delivery of an effective P2P process in UKHSA.

This role will focus on the catalogue and pricing elements of the P2P team.

Financial experience, internal and external query resolution and advanced e-systems expertise are key requirements for this role.

Location

The UK Health Security Agency (UKHSA) offers hybrid working - this means that whilst the role will require occasional travel to one of our offices, there will be opportunities for an element of working from home. UKHSA have office locations across the UK.

This role can be based at one of our UKHSA offices/locations (Leeds, London, Porton Down, Chilton).

You will be asked to express a location preference during the application process. The balance between home and workplace working is to be agreed with the line manager, determined primarily by business needs and in line with departmental policy.

*Please be aware that this role can only be worked from within the UK and not overseas. Relocation expenses are not available.*

Main duties of the job

The job holder will be required to carry out the following responsibilities, activities and duties:

  • People manage team members to ensure an efficient service is provided
  • Manage the P2P team in dealing with pricing issues and catalogue setup and maintenance
  • Prioritise own and that of the team members' workloads to promote efficiency within the team
  • Collate and produce spend analysis for the wider business
  • Manage Inventory system maintenance for internal warehouses
  • Point of contact for reporting requirements
  • Administrator for e-systems within the department

Job description

Job responsibilities

The P2P team are at the heart of improving and streamlining both processes and business knowledge. The whole organisation uses a self-service ordering process and a large number of goods are maintained on catalogues within punchout and the main ERP system (Oracle Fusion). This role will focus on managing catalogue, pricing and analysis elements of the P2P team.

The individual should have a solid understanding of the P2P process from source to payment. Invoice payment reconciliation and price hold management will be essential in assisting the Accounts Payable team meet their targets. Clear, concise training documents will be regularly maintained for both the team and users.

Impact and spend analysis and other report requests will be collated, developed and presented to all levels across the organisation.

A good working knowledge of e-systems is required, including the interfaces into Oracle and other punchout systems. Administrative tasks are required on these systems and/or liaison with other internal and external system administrators.

Coordinate import/logistical queries and payments. Also, a readiness to support emergency response administrative functions following new policies and governance as well as existing ones may be required.

Candidates will also be asked to participate in a session where they will be required to prepare and deliver a 5 -10 minute presentation to the panel. This will be followed by a question-and-answer segment. The presentation will be designed to assess each candidates experience in line with the requirements of the role. Full details will be provided prior to the interview.
