Due to growth we are looking for an experienced and enthusiastic Payroll Assistant to join our Payroll team.

The successful applicant should be dedicated, organised and reliable as well as have excellent communication skills and be able to work on their own initiative.

We offer hybrid working in this role meaning that the successful candidate will work some days in our Ashford office and some days from home.

Main duties of the job

This role will be responsible for:

  • Producing a high level of data accuracy to our customers.
  • Support the Payroll Associate's to ensure accurate and efficient processing of all Payroll forms.
  • Processing and checking of confidential information.
  • Learning elements of processing and end to end Payroll.

Job responsibilities

Role specific duties and responsibilities

The post holder will undertake the following duties and responsibilities:

Responsible for the accurate data entry of staff personal details via change forms into HR systems.

Action starter, leaver and change forms ensuring accuracy of information.

Calculate and input into ESR ad hoc spot salaries where appropriate

Enter relevant allowances into ESR as required i.e. High Cost Area.

Support the payroll team in the data entry of any basic payment information.

Enter information into HR payroll system for the payment of staff expenses.

Administration of salary sacrifice scheme as directed by Payroll Advisor.

Checking of confidential and accuracy critical data in ESR (bank details).

Administer all payroll related paper work, scanning, shredding and filing as appropriate.

Answer telephone calls, taking messages and passing on accurately to the relevant departments.

Participate in weekly Human Resource calls or monthly operational conference calls as required.

Photocopying and word processing documents, letters, emails and reports when required.

Responsible for organising meetings for the Payroll and workforce team and planning any administrative work as required.

Demonstrate office systems and procedures to new team members.

Cover and support Payroll associate workload as required in periods of sickness, annual leave or high pressures.

Deputise for the Payroll Coordinator.

Support the team in production of all monthly payrolls, ensuring that all processes are completed in line with published timetables.

Ensure the office environment is kept tidy to ensure a professional appearance.

To facilitate flexible working, although this is the post holders primary role, you may be required to undertake work in another role or team, commensurate with the grade of this post, in order to utilise the post holders experience and skills and maximise the efficiency of the organisation.

Undertake research and development as directed.

To carry out other appropriate delegated duties as required by Team members.

Provision of day-to-day training and support for own specialty.
