Job summary

THIS POST IS FIXED TERM UNTIL APRIL 2026 TO COVER SECONDMENT.

Track dental specialities patients along the pathway from referral to treatment, ensuring that the most current information on a patient is updated on all appropriate administration systems.

Liaise with Senior Medical Staff, Senior Management Team, other members of staff, the public and General Practitioners and other Health Professionals to provide a high quality, efficient and effective patient-based information.

The post holder will be required to work within standard operating procedures and must be able to manage own workload.

Guidance and advice will be available from Directorate Support Manager. Ensure that the Patient Administrative System accurately reflects the status of all patients' Open pathways.

Demonstrate confidentiality and discretion in all dealings with both staff, public and external sources alike.

Main duties of the job

Plan and organise clinics for consultant(s) and designated medical staff on a daily basis.

Ensure work is prioritised and objectives achieved, maintaining accuracy despite interruptions

Organise the booking of the urgent suspected cancer referrals in conjunction with WAG guidelines.

Administer set up of Outpatient clinics ensuring the full utilisation of clinic capacity which will regularly require contacting patients at short notice and making sure relevant documents are readily available in a timely manner.

Responsible for clinic activity amendments due to Consultant(s) annual leave and sickness

Attend regular staff meetings to discuss month on month progress on waiting times and making plans for the month ahead with the service manager.

Understand the pathway of each service user; monitoring their progress and ensuring timely intervention is achieved, where necessary

Have a key knowledge of all relevant Health Board policies and procedures and adhere to at all times

Must be fully conversant with current Cancer Pathway and Referral to Treatment Guidance and ensure that practices are implemented.

The post holder will be required to work within standard operating procedures and must be able to manage own workload.The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

  • Qualifications in word-processing, spreadsheet, database and desk-top publishing or able to demonstrate the equivalent level of knowledge, skills and experience.

Desirable

  • ECDL qualification.
  • Competent in using WPAS.
  • Understanding of Referral to Treatment Rules
