Job summary

The post holder will be an important member of the Swansea Bay University Health Board (SBUHB) Lymphoedema Team. They will provide administrative support to the SBUHB Lymphoedema team. The post holder will co-ordinate, organise & prepare the smooth day-to-day running of the Lymphoedema Clinic. They will provide support to Lymphoedema Administrative Lead. The post holder will be tasked with processing of referrals, clinical letters, discharges and oracle ordering. Data collection on projects including entering data into excel will be vital. Also support the preparation of monthly Health Board Lymphoedema data reports.The post holder will deal with queries from patients, Health Care Professionals and other agencies face to face and by telephone.You will be working as a member of a team providing efficient and effective secretarial support hence supporting the delivery of a high quality service to patients and staff.

Main duties of the job

Typing of appropriate official correspondence and related clerical duties.To maintain confidentiality of information at all times.Communicate with a wide range of people from a variety of professional and nonprofessional backgrounds both orally and electronically providing information and responding to queries, ensuring a high degree of accuracy and detailEnter and analyse data and produce routine information reports on a variety of workforce and performance data for Lymphoedema Health Board Services

Responds appropriately to patient queries, often dealing with anxious/distressed patients face to face or by telephone.Demonstrate effective communication skills with Multidisciplinary Team, staff, patients and carers, which may require tact, persuasion and motivation.Assist with general office duties as necessary including receiving, sending and sorting mail, photocopying, emailing distribution as necessary.To provide support with data entry into excel. Provide basic analysis on the data.Designing bespoke proformas for data collection and overseeing their timely return.
