Job summary
An exciting opportunity has arisen in the Community Wound Care Service within Swansea Bay University Health Board. This is an Administration Officer role which will require the post holder to provide administration/reception services, including the production of documents, updating of e-systems, mail distribution, filing, booking venues and speaking to patients on the phone regarding their appointments, amongst many other duties.
The Community Wound Care Service is a growing team that is constantly looking to improve and develop, and we require an innovative and adaptable candidate who can help us reach our goals.
The successful candidate will have excellent communication skills and experience of using IT systems such as Microsoft 365, Sharepoint and NHS systems such as Clinical Portal and ESR.
Main duties of the job
the role will undertake administration duties for the departments to include;CommunicationThe service is pan Swansea Bay University Health Board and liaison with alldisciplines within the health board will be routine as well as communication withinternal and external stakeholders.Project workThis service is in response to new developments and consequently many workstreams will be established on an ongoing basis. The post holder will be required to? Ensure documentation is ready as directed? Communicate with external speakers and confirm bookings? Maintain an electronic library? Arrange/confirm meetings/workshopsFirst Point of Contact SupportAs one of the first point of contacts for the department, the Clerical Officer willdeal with and direct calls as necessary in a professional, courteous manner actingas an ambassador for the organisation in all aspects of communication. This willinclude;? Dealing with telephone queries appropriately, referring more complex queriesonto the appropriate person? Providing an excellent customer service to the organisation? Collecting, opening and acknowledging post and emails within specifiedtimescales? Dealing with all other enquires via email or in person for the departmentsappropriately, referring to others as required? Recording messages as required for the department? Developing Documents and Data Inputting, the role will provide anadministration service to a high standard
