Job summary
This is a busy post set in Sexual Health Services (SHS), which includes the Pregnancy Advisory Service. Areas of work include the Sexual Health Clinic in Singleton Hospital, Neath Port Talbot Hospital, Quarella Road, Bridgend and satellite venues throughout Swansea Bay and Bridgend.
Th e post holder would be expected to provide a comprehensive, confidential, high quality administration support and to work as part of the administration team. Providing full and comprehensive support to the larger multidisciplinary team. Responsible for ensuring effective, efficient and courteous reception service liaising with patients, visitors and service users. Good communication and office and IT skills are essential.
Main duties of the job
Daily preparation of reception area for commencement of clinics. Setting up computers, printing clinic lists, ensuring that each clinic is provided with relevant copies, ensuring patient files are available for daily clinics. Participate in the development and maintenance of computerised filing system.
Register new patients. Rebook patients. Amend any new information and log follow-up patients. Print patient labels as required.
Maintain patient notes and scan paperwork, results and reports into electronic patient files as appropriate. Date-stamp any correspondence.
Deal with patients with additional needs and difficult behaviour, and address and refer complaints to senior staff.
Demonstrate tact when dealing with patients who have experienced rape/sexual assault/HIV/asylum status and who have overcome language difficulties and who are requesting termination of pregnancy. Explain waiting list and appointment based service to patients as required.
Exercise judgement when dealing with patient enquiries. Demonstrate awareness of risk assessment procedures in dealing with difficult patients.
Plan and organise straightforward tasks e.g. rescheduling clinics at request of senior staff, filling cancelled slots and interpreting notes for logging procedures e.g. follow-up or re-book. Determining patients' requirements i.e. which clinic to book into e.g. doctor/follow-up/Health Adviser/HIV/PAS.
