Job summary

We are the Emergency Medical Retrieval and Transfer Service (EMRTS) and work collaboratively in partnership with NHS Wales, Welsh Government, and Wales Air Ambulance Charity. We provide Physician and Practitioner-delivered Pre-Hospital/inter-hospital critical care services to our community and networks across Wales. In addition to the EMRTS response, the service delivers the deployment of the Adult Critical Care Transfer Service (ACCTS) which is a predominately road-based service with dedicated critical care transfer staff, vehicles, and equipment from our bases in Cardiff and Bangor.

We have an exciting opportunity for an enthusiastic and motivated individual to join the Service as a Health Records Officer which will incorporate administrative support to the Patient Liaison Nurse Team. If you are self-motivated, have excellent experience of coordination and organisational skills as well as an excellent eye for detail you could be who we are looking for. Supporting patients and their relatives is a priority for the Wales Air Ambulance Charity and ourselves and this post is pivotal to the success of our 'after care' operation.

Main duties of the job

The successful candidate will be integral to the provision of Health Records support across our service including the provision of administrative support to the Patient Liaison Nurse (PLN) Team

Working as part of the core Administrative Team as well as linking into the Health Informatics Team, the postholder will support the delivery of key functions to ensure the smooth running of the service which will include:

  • First point of contact for patients who wish to make follow up appointments with the PLNs and arranging appointments through a variety of platforms.
  • First point of contact for partner organisations who request records following crew attendance e.g., Police statements, H.M Coroners' requests.
  • In conjunction with the Senior Management Team, handle, and co-ordinate information requests in line with statutory guidance e.g. .Freedom of Information Requests etc.
  • Undertake financial processes within the service e.g., use of oracle, invoice processing in line with SUHB policies and procedures.
  • Updating of service systems from a Health Records perspective to ensure accuracy of information e.g., Electronic Patient Record systems,
  • Provision of Administrative support to service meetings including the minute taking and management of the associated action logs

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.
