Job summary

An exciting opportunity has arisen for 2x Clerk Receptionists to join the Community Paediatric Booking teams. 1x 37.5 hr position based within Hafan Y Mor, Singleton Hospital, and 1x 30hr position based within Hafan Y Mor, Singleton HospitaL with both posts likely to spend one date a week in Central Clinic, Swansea on a rota cover

The successful post holders will become part of an established team, helping to provide a high quality administration and reception service to patients and service users. They will facilitate the smooth, efficient and effective running of the Community Paediatric Service patient pathway.

The post holders will work flexibly across Services to provide administrative and reception support such as the processing of clinic changes, the correct recording of patient pathways, the retrieval, preparation and filing of patients' case notes as and when required.

The post holders may be expected to work on other hospital sites to ensure appropriate service cover at all times; this may include cross site working and cover with other Children Centre's within the Health Board.

The post holders must possess excellent communication and organisational skills, provide a warm and welcoming Reception Service, meeting and greeting all visitors to the department checking patient details and case notes, recording attendance and appointment outcomes via Patient administration systems (PAS) andensuring all tasks are carried out to the required standards.

Main duties of the job

Understand the range of services provided for Community Paediatric patients and Service Protocols.

Use this information to deal with patient/staff enquiries and to fulfil the role of Clinic Clerk receptionist (referring clinical issues to appropriateClinician(s) for advice/decisions as appropriate).

To provide a warm and welcoming Reception Service, maintain clinic roomdiaries, meeting and greeting all visitors to the department checking detailspatient details, checking case notes, recording attendance via Patientadministration system (PAS).

To answer enquiries, receive and relay messages, both in person and on thetelephone, from patients or staff, using a working knowledge of Health Board procedures to maintain a professional front of house service.

Change or cancel appointments at the request of the patient or managerhighlighting where pathway timeframes may be compromised. Liaising with their line manager or Service Manager regarding substitute appointments.
