Job summary
The post holder will have reception and clerical duties which will support the smooth and efficient running of the Managed Practice.
The post does not carry managerial responsibility. The range of responsibilities will be in support of the General Practitioners and Practice Nurses and supervised by the Senior Receptionist/Practice Manager.
The post holder will be responsible for the organisation of their own workload, including clerical and reception duties on a daily basis, ensuring effective use of all resources available.
The post holder will be expected to act in a professional manner at all times, and be able to communicate in a manner that is understood and always in a polite and respectful manner both over the telephone and when dealing with patients presenting at the Practice.
The post holder will understand the need for strict confidentiality and have excellent customer care skills.
Welsh Skills Desirable: This post is advertised as Welsh Desirable. This doesn't mean essential; whilst the candidate doesn't need to have skills in Welsh, we'll consider it an advantage when short-listing and selecting candidates. This isn't 'fluency', just Speaking & Listening skills at Level 3 (equivalent to CEFR B2) or above. Level 3 means basic conversations with patients about their everyday health. Main duties of the job
Provision of reception and clerical support to Practice Manager and General Practitioners by:
o Ensuring correct personal data is held on patients using Vision system.
o Accurately recording data within Vision system as directed by Senior Receptionist, Practice Manager or members of the Healthcare Team.
o Accurately filing correspondence, reports, results etc as directed, ensuring that they are filed in the correct patient record, and in adherence to practice protocol.
o Undertaking general Reception duties such as greeting patients and answering the telephone, either dealing with the query or referring to an appropriate member of staff.
o Undertaking insurance, medical report administration.
o Preparation of consulting rooms, monitoring of waiting areas.
o Providing cover for colleagues during periods of leave.
o Ensuring work is completed during the working day.
