Job summary
The post holder will provide administration and clerical support to the Health Visiting and School Nursing medical and nursing staff within the Directorate enabling these services to be provided to the population of Cwm Taf Morgannwg University Health Board (CTMUHB).
The post holder will undertake filing and record storing duties associated with the child health services to support the medical and nursing staff in delivering services.
They will access the National Child Health computer system and any associated clerical duties.
The post holder will undertake the ordering and supply of stationery to the Health Visiting and School Nursing Teams working across Cwm Taf Morgannwg University Health Board (CTMUHB).
The post holder will be expected to undertake general administration and clerical duties to support other Child Health Teams as required.
Main duties of the job
Liaise closely with the child health administration manager, community nursery nurses, health visitors, school nurses and other staff when clarifying queries relating to any aspect of the filing duties or the provision of stationery supplies.
Deal with telephone enquiries from staff and patient's parents/guardians, taking appropriate action as requested.
Have experience of working with Microsoft Office Software and be experienced in working a busy office environment, undertaking filing and clerical duties.
Prioritise own workload ensuring work is completed in a timely manner meeting necessary deadlines.
Update and maintain an accurate filing system for the Health Visiting and School Nursing records, ensuring all records are easily accessible to staff.
File patient records in correct order, ensuring shelves are clearly labelled to enable easy access and traceability of records.
Sort and photocopy correspondence, and forward any correspondence to other Health Boards/Trusts as necessary, and send the original documents to the allocated Health Visitor.
Ensure records are kept in a secure manner and in a hazard free environment.
