This post offers an opportunity for two individuals with administrative experience to join the Medical Records Department and support the Outpatient Department reception function,

The successful candidates will be part of the reception team and will be responsible for receptioning and supporting Outpatient Clinics. These clinics could be held in the evening or on weekends so flexibility is absolutely esssential.

The post holders will work independently to defined policies and procedures and will be required to book appointments adhering to RTT guidelines and provide reception duties.

Fixed term/secondment until the 31.3.2026 due to funding. If you are applying for a secondment position, please ensure you obtain permission from your current line manager prior to applying for this post.

Main duties of the job

  • Appoint patients using the appropriate Patient Administration System (PAS).
  • Manage Outpatient Waiting Lists adhering to RTT guidelines.
  • Answer telephone queries and, if unable to resolve the issue, pass on information to the relevant professionals in a timely manner.
  • Be expected to deal sympathetically and compassionately with patients.
  • Provide an Outpatient Reception Service.

Welsh Skills Desirable: This post is advertised as Welsh Desirable. This doesn't mean essential; whilst the candidate doesn't need to have skills in Welsh, we'll consider it an advantage when short-listing and selecting candidates. This isn't 'fluency', just Speaking & Listening skills at Level 3 (equivalent to CEFR B2) or above. Level 3 means basic conversations with patients about their everyday health.
