Job summary

The post holder will work within clearly defined occupational policies and the broad range of activities involved in the day to day running of Royal Glamorgan General Office.

The post holder will act at cashier and general office assistant completing monthly and weekly pay cards for various Departments including Porters, Radiology, Audiology, and Medical Secretaries. The post holder will also be responsible for updating the relevant ESR records.

The post holder will be required to deal with general queries, ID Badge queries, pay and annual leave queries from staff, patients and visitors over the phone and in person at the General Office desk.

Main duties of the job

Then post holder will be required to plan own day to day activities and assist in the day to day running of general office such as ID Badge system, paycards, accommodation, ordering of goods, bankings and mail.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

  • Plan own day to day activities and assist in the day to day running of the General Office at the Princess of Wales Hospital.
  • Be required to produce staff ID badges, ensuring that appropriate photographs are taken and application forms are completed correctly.
  • Be required to use the ID badge system to create staff grouping for access purposes, and they will be required to regularly audit the systems for cards not used, and relaying the information to management.
  • Be required to access and retrieve CCTV footage of security related incidents from the hospital cameras and transpose to disk for the police, keeping the Health Board Security Manager informed of such requests.
  • Be responsible for the completion of monthly and weekly pay cards for Porters, Radiology, Audiology, Medical Secretaries, Administration Staff (Surgical), Administration Staff (Medical Directorate and A&E), Clerks and General Administration Staff.
  • Be required to accurately record sickness and annual leave on ESR for Portering staff, identifying inconsistencies and reporting these to the Head of Portering.
  • Be required to audit annual leave for the Porters, and produce reports for the Head of Portering as and when requested to do so.
  • Act as cashier for all banking activity (approx £15,000-£19,000 twice weekly) for the Restaurant and Coffee Shop in Royal Glamorgan, and be transported to the Bank via hospital transport and accompanied by a driver to deposit the money in the Bank.
  • Provide daily and weekly reports to the Head of Catering regarding banking activity.
  • Be responsible for the banking of patients monies, ensuring that all financial control procedures are followed.
  • Be required to deal with petty cash requests of up to £50.
  • Be required to deal with patient travel expense claims, ensuring that the financial control procedures are followed.
  • Be expected to deal with general queries from staff, patients and visitors to the General Office, exercising own judgement to resolve queries and general problems.
  • Be responsible for any lost property handed into General Office, recording details of items lost in accordance with Health Board guidance and updating the system when items are reunited with owners.
